Summary of responsibilities
Reporting to the Supervisor of Community Addiction & Mental Health Services, the secretary will work at both the Day Treatment Program and Community Addiction & Mental Health Centre as scheduled. The secretary is responsible for administrative tasks related to assisting in the day-to-day operations of the services including reception and scheduling, managing the client electronic health record, ordering, payroll, scanning, dealing with the public, conducting surveys, running reports, managing conference room bookings and other duties as assigned by the Supervisor of Community Addiction & Mental Health Services.
Requirements of the job
- Successful completion of a 2-year Secretary Diploma Program or equivalent
- Three years recent experience as a secretary
- Excellent communication and customer service/public relation skills as the initial point of contact for the service for clients, family and community members
- Demonstrated ability to transcribe dictation quickly and accurately
- computer literate with working knowledge of Outlook, StaffRight, Ormed & Cerner; intermediate level in Microsoft Word, Excel and Powerpoint
- Demonstrated ability to set priorities and organize time
- Minimum typing speed 60 wpm
- Demonstrated regular, punctual attendance
- Demonstrated commitment to patient safety and family inclusion
- Functional proficiency in both official languages (oral and written in English, oral in French - and testing completed)
**Asset**:
- Working knowledge of CRMS
- Previous experience in addiction and mental health service program
- Knowledge/Training of OTN
