**Commercial/Residential Properties Administrator**
**Job Summary**:
THMR is a commercial, residential real estate, and development company serving buyers, sellers, and tenants in the Greater Toronto Area. THMR treats each project, big or small, as a unique opportunity to create inspiring spaces that define a new understanding for development. As a Commercial/Residential Properties Administrator, you will be assisting in managing all our residential and commercial buildings with over 80 commercial tenants and 7 residential properties and counting. You will be assisting in ensuring that they are maintained, updated, and remodelled as needed while ensuring our tenants are cared for and their needs are met as best we can. **Essential Duties and Responsibilities**:
- Assist in negotiating and managing vendor contracts.
- Identify opportunities for improving service levels and assist in implementing programs or improvements.
- Maintain an annual maintenance calendar.
- Perform monthly building inspections of the interior and exterior of properties and prepare deficiency reports and action plans for the management team.
- Awareness and tracking of lease maturities and changes to the site or existing tenant's leases which would create value.
- Liaise with other departments in resolving tenant issues and addressing their needs.
- Continue to build relationships with new and existing tenants.
- Arranging of bidding.
- Assist property managers with rent collection and tenant account reconciliations.
- Assisting with responding to tenant queries to ensure a full resolution.
- Assist property managers with purchase work orders and processing.
- Lease administration: Assisting in preparation of documents, including renewals, offers and leases, preparing lease abstracts and maintenance, inputting tenant information, and updating contracts, lease terms, per property manager instructions.
- Property file maintenance, filing, creating files, and updating files or archiving files.
- Utility correspondence updates and arrange bill redirections.
- List, create, update, and consolidate property manager contact information and tenant lists.
- Ease transitions, create files, send introductions/escalation notices to tenants.
- Light cleaning duties after tenants move out of a property.
- Other duties as assigned.
**Knowledge and Skill Requirements**:
- Valid driver's licence and reliable access to a vehicle is essential.
- Effective planner for prioritizing work activities and anticipating shifts in priorities.
- Ability to meet deadlines proficiently.
- Excellent oral and written communication skills.
- Proven ability to identify, evaluate and develop new ideas with supportable results.
- Proficient with Microsoft Office and Teams.
- Comfortable taking on minor handyman work.
- Able to stand/walk for long periods while making rounds checking on properties.
**Job Types**: Full-time, Permanent
**Salary**: $19.00-$22.00 per year
