**Work Arrangement**:This role is primarily based in the office environment.

**Position Overview**:
The Flight Operations Administration Coordinator plays a pivotal role within the Flight Operations department. This role encompasses critical responsibilities such as document control, management of the technical library, and providing extensive administrative support to key personnel within the Flight Operations team, including the Vice President, Business Transformation and Operations, and the Chief Pilot.

**Primary Job Functions**:
The Flight Operations Administrative Coordinator will be responsible for:

- Support Flight Operations Management on various operational issues, including distribution of pilot memos, updating systems, and coordinating manual amendments
- Coordinate TSA clearances for flight training in the United States
- Assist in Crew Member recruitment and onboarding and offboarding processes
- Manage crew uniforms database, vendor correspondence, and uniform distribution
- Review and manage crew expenses for accuracy
- Ensuring all aircraft documentation and manuals are up-to-date
- Track crew compliance with required items such as iPads, memos, and training acknowledgments
- Manage crew RAIC process and provide support for crew planning and scheduling
- Act as the initial point of contact for general crew inquiries
- Assist in the development and distribution of new hire packages and provide on-site support for training
- Support Flight Operations relationships with vendors and ensure accurate invoicing and payment tracking
- Assist in the development and implementation of special projects
- Provide backup support for other Flight Operations staff as needed

**Qualifications & Requirements**:

- ** Education**:

- College Diploma in Aviation Management, Business Administration, or a related field is preferred
- ** Experience**:

- Minimum two (2) years of previous related experience in an airline environment, or a complex administrative support role is strongly preferred
- Experience with regulatory compliance processes is an asset
- Familiarity with flight operations and crew management procedures
- Experience in recruitment, vendor management, and project support.
- ** Skills & Abilities**:

- Proven project management skills and abilities; ability to take initiative on complex tasks, illustrating a proactive approach to problem-solving and task management
- Ability to read and interpret various acts, regulations, and legal documents, indicating an understanding of legal aspects related to airline operations
- Proficiency in technical and business writing, highlighting the ability to effectively communicate complex information
- Knowledge of Crew Scheduling Systems, demonstrating proficiency in crew scheduling software
- Strong organizational and time-management skills
- Excellent communication and interpersonal abilities
- Attention to detail and accuracy in data entry and record-keeping
- Proficiency in Microsoft Office Suite and database management
- Ability to work independently and collaboratively in a fast-paced environment
- Flexibility to adapt to changing priorities and operational needs

- Clear criminal record check and satisfactory employment references
- Must be able to obtain and maintain a valid Restricted Area Identity Card (RAIC)
