Allied REIT is looking for a
**Project Coordinator** to join our Technical Services (Building Operations) team in Montreal.

**What will you do?**:
- Support the development of project business cases, plans and budgets in accordance with Allied's National Operating Framework.
- Manage all project-related administration and documentation, ensuring accuracy and completeness.
- Issue all jobs and contracts in Yardi for capital projects, including budget revision or contract change orders.
- Support approval workflows within Technical Services and beyond.
- Coordinate and follow-up with relevant Technical Services team members to ensure project timelines and expectations are met.
- Actively pursue documentation and information required for capital projects prior to start dates.
- Work with supervisors and managers of Technical Services to ensure project information is complete and accurate.
- Work with Specialized Operations to support Capital Job tracking, coordination and updates, and present results and milestones to leadership.
- Review project related account payables to ensure accuracy, completeness and timely payment.
- Manage contracts and service agreements with suppliers to ensure compliance with Allied requirements and procedures
**Administration**
- Support departmental communications and tools with a focus on process improvement and efficiency.
- Maintain project data and systems information, ensuring all files are complete and accurate, have valid and executed documentation, and are properly filed.
- Maintain cost tracking sheets and update as projects are approved in Yardi.
- Ensure the on-call escalation list is up to date and audited once a month.
- Assist with the scheduling and tracking of the annual inspections for life and safety installations, building equipment and other code compliance requirements.
- Organize, schedule and assist with all annual and bi-annual training requirements for all building operations staff which includes, JH&S, WHMIS, Fall Arrest, First Aid/CPR, Mold and Asbestos Awareness, Basic Spills, IAQ Awareness, etc.
- Support the Technical Services team with order requests for uniforms, equipment, PPE, etc.
**Functional Support**
- Assist with the deployment of functional and city initiatives as needed.
- Act as liaison with the National Technical Services Team members; provide input and feedback on programs and initiatives launched in an appropriate and timely manner.
- Attend project and functional meetings, preparing agendas and taking minutes.
- Set up new vendors, supply agreements, budget entry and revisions, contract and change orders, cheque requisition, etc.
- Prepare and distribute purchase orders, ensure accurate billing and timely payment.
**What are we looking for?**:
- Undergraduate degree in Real Estate, Business or related field.
- Strong knowledge of the commercial real estate management industry.
- Basic technical knowledge of commercial building operations and an understanding of commercial construction.
- Superior customer service, professional communicator with proven ability to build collaborative relationships.
- Leadership aptitude and sense of urgency, good judgment, decision-making, and reliable problem-solving skills.
- Strong proficiency with Microsoft Office (Outlook, Excel, Word, and Power Point).
- An assertive self-starter with the ability to work independently under mínimal supervision.
- Detail oriented & strong skills in organization, planning, and time management.
- Team player attitude.
- Knowledge of Yardi, Microsoft Project and AutoCad would be an asset.
- Bilingual (French, English) would be an asset.
