As our Government and Large Company Procurement Assistant, you will be responsible for navigating the complex world of public procurement and large corporate contracts, ensuring that our company is registered and compliant in various procurement platforms at the provincial, state, and federal levels in Canada and the USA, as well as with large public or private companies. You will manage the entire process, from initial registrations to monitoring tender opportunities and submitting proposals, ensuring that our company is positioned to secure lucrative contracts.
This is an in-office position located in the **Vaughan area, steps away from the Vaughan TTC station**, offering an easy and convenient commute. You will be working closely with our team to ensure we stay on top of all government and large corporate procurement opportunities.
This is a specialized role for someone who thrives in detail-oriented tasks, enjoys working within compliance frameworks, and has a passion for helping businesses succeed in government and corporate contracting.
**Key Responsibilities**:
- **Registration & Maintenance**:
- Manage registrations on federal, state, and provincial procurement portals (e.g., PSPC in Canada, GSA in the USA, and individual province/state portals) as well as large company bidding platforms (e.g., Ariba, MERX, Sourcewell).
- Maintain up-to-date Procurement Business Numbers (PBN) and other required identifiers for government and corporate procurement.
- Track renewal dates, ensuring all registrations remain active and compliant.
- **Tender Opportunity Monitoring**:
- Set up and manage alerts for new procurement opportunities across Canada, the USA, and from large companies.
- Monitor and filter opportunities based on relevance to our company’s offerings.
- Summarize tender requirements and deadlines for the team.
- **Proposal Submissions**:
- Assist in preparing, formatting, and submitting proposals according to specific RFP/RFQ requirements from both government agencies and large corporations.
- Ensure compliance with all legal, financial, and security requirements during the proposal process.
- **Communication & Follow-up**:
- Liaise with government and corporate contacts to clarify contract requirements or processes.
- Coordinate with internal teams to gather necessary documentation, ensuring all submissions are complete and on time.
**Skills and Qualifications**:
- **Procurement Knowledge**:
- Experience with public procurement processes and corporate contracting, either in a governmental, corporate, or supply chain setting, is highly desirable.
- Familiarity with systems like BuyandSell.gc.ca, SAM.gov, GSA Advantage, MERX, SAP Ariba, and provincial procurement portals (e.g., BC Bid, Ontario Tenders Portal).
- **Attention to Detail**:
- Ability to handle multiple registrations, deadlines, and submissions without oversight.
- **Project Management**:
- Strong organizational and time-management skills to track and prioritize tasks across various portals and projects.
- Ability to work autonomously with mínimal supervision while meeting tight deadlines.
- **Technical Competence**:
- Must be **highly proficient in MS Office** (Excel, Word, PowerPoint, Outlook).
- Proficiency in using online procurement portals and familiarity with registration processes.
- Strong understanding of document management, formatting proposals, and ensuring compliance with legal and technical specifications.
- **Communication Skills**:
- **Excellent English skills**—both written and verbal.
- **Problem-Solving Abilities**:
- Strong analytical skills to navigate procurement systems and troubleshoot issues as they arise.
- Ability to understand and interpret legal, compliance, and regulatory requirements.
**Education and Experience**:
- **Required**:
- 2+ years of experience in a government or corporate procurement, compliance, or administrative role.
- Experience with government contracting, supply chain management, or legal documentation.
- Proven experience managing multiple complex projects simultaneously.
- **Preferred**:
- Bachelor’s degree in business, law, public administration, or a related field.
**Location & Hours**:
- **In-Office Position**: Located in **Vaughan, Ontario**, within walking distance of the **Vaughan TTC station**.
- **Full-Time**: This role requires full-time dedication, and your day will primarily consist of managing procurement-related tasks.
**Salary & Benefits**:
- **Salary**: Competitive, based on experience. Expected range is $45,000 to $66,000 annually.
