Accounting and Administrative Assistant

**Your Opportunity**
This is an exciting hybrid role that will have both accounting and administrative responsibilities. Reporting to the Senior Manager, Corporate Support Services, the Accounting and Administrative Assistant will be responsible for numerous accounts payable and accounts receivable functions, supporting month end and year end processes, and reconciliation activities to support the Corporate Support Services team.
In addition, approximately 30% of this position will be dedicated to providing administrative support to Celero's Executive Leaders, the Executive Assistant as well as assisting various teams in the organization.
**A Day in the Life**
**_ Accounting _**_(approximately 70%)_
May include some or all of the following:
- Gather and compile monthly billing for Celero
- Create invoices, distribute, and collect payment from customers
- Coordinate facilities management activities
- Code invoices from vendors and staff expenses
- Prepare and distribute payments to vendors
- Maintain an awareness of Celero products and services
- Reconcile general ledger accounts
- Create, monitor and post accruals and journal entries
- Document workflows, procedures, checklists and policies for assigned tasks
- Review month end and year-end financial reports and prepare correcting entries when needed
- Review requests and provide pertinent documentation to financial auditors
- Investigate and follow up on vendor discrepancies
- Produce statistical reports as required
**_ Administrative Assistant_**_ (approximately 30%)_
May include some or all of the following:
- Support committee and governance activities by co-coordinating meetings, leading meeting preparation activities, recording, composing, and distributing minutes
- Coordinate and execute tasks in support of business activities (e.g. conferences, training, meetings)
- Create and distribute standard periodic communications, reports, & routine correspondence
- Co-ordinate the supply and manage the inventory of consumable office supplies, including the accounting activities required to support the process
- Perform general offices duties, including reception, photocopying, courier and mail distribution
- Tracking travel receipts, entering and submitting expense reports on behalf of the Executive Team individuals
- Assisting with onboarding of new staff or offboarding of staff leaving the organization
- Supporting various teams with onsite meetings including ordering lunches, booking meeting rooms, preparation of tools and resources
- meeting with Travel agency vendors (hotels, car rentals, etc) to maximize savings
- Assisting the Executive Assistant when needed
**Your Resume and Experience**
- Completion or near completion of a diploma in a related discipline (e.g. accounting or business) or recognized equivalent is preferred
- Previous experience in an administrative role required
- Experience in an IT or Professional Services organization is an asset
- Demonstrated computer literacy including effective working skills in Office 365, Outlook, Word, Excel, MS Teams, SharePoint, Adobe Acrobat, etc.
- Experience with DocuSign and PowerPoint preferred but not required
- High level of discretion required in dealing with confidential matters
