Executive Assistant

We're looking for an **Executive Assistant** to help us keep things running smoothly as we grow. Reporting to the Director of Operations, the Executive Assistant will be responsible for day-to-day office administration and offer support in finance and human resources.

**What Will Help You Excel in This Role**:
- Previous experience in an administrative support role (e.g. Executive Assistant, Administrative Assistant, Office Manager)
- Post-secondary education in office administration, business administration, finance/accounting, or another related field
- Meticulous attention to detail
- Strong ability to develop and maintain systems and procedures
- Strong critical thinking and problem-solving skills
- Excellent communication (written and verbal) and interpersonal skills
- High level of professionalism and ability to maintain confidentiality when handling sensitive information
- Bookkeeping experience and proficiency in accounting software would be strong assets
**Duties**:
- Serve as the lead for office administration duties (e.g. taking care of mail, supplies, equipment, bills, errands)
- Schedule meetings and appointments, and arrange meeting space and catering when necessary
- Keep the office organized and stocked with necessary supplies and arrange repairs when necessary
- Provide general support to visitors
- Plan in-house and off-site activities, like staff functions, celebrations, etc.
- Book staff accommodations and order field supplies to support projects
- Coordinate special projects and events, such as purchasing corporate gifts and arranging charitable donations
- Track and help monitor employee timesheets, project hours, benefits, and paid time off
- Assist with human resources tasks such as new staff orientation/onboarding, maintaining employee records, and reviewing timesheets to prepare for payroll)
- Keep books up to date using QuickBooks Online
- Process staff expense claims
- Monitor accounts payable and accounts receivable
- Assist in the preparation of reports and financial advance requests for funding programs and wage subsidies
