**WHAT YOU’LL BE DOING**:
Reporting to the Manager, Information Management, the Records Assistant focuses on records administration. Working closely with the Records Analyst, the Records Assistant will perform an array of duties surrounding the coordination, assisting with the development of the records file plan and the retention and appropriate destruction and preservation of both paper and electronic records.

**KEY RESPONSIBILITIES INCLUDE**:

- Assisting in the revision of a function-based file plan;
- Conducting preliminary assessment and audit of electronic records stored in network drives;
- Checking proper tagging of digital records stored on SharePoint sites;
- Implementing pre-closure of meeting and project sites, which store electronic records to facilitate the implementation of the College’s records retention schedule;
- Implementing site permissions to authorized group of users for records stored in SharePoint sites based on a role-based approach;
- Assisting in the revision of the College’s records retention schedule for new streams of business activities and record series;
- Assisting in facilitating requests for information from registrants and the general public
- Assisting in investigating and resolving data quality issues
- Conduct research on specific topics including records management in Microsoft 365 environment

**YOUR EDUCATION & SKILLS**
- Experience in electronic records management is an asset
- Co-op experience in records management is an asset
