OFFICE MANAGER POSITION

Domain Funding is a private, boutique, full-service commercial mortgage brokerage and investment firm operating throughout British Columbia and Alberta - headquartered in the heart of Vancouver’s downtown financial district. We have specialized in both loan origination and administration since 1999. We fund commercial mortgages from $1,000,000 to $65,000,000 on behalf of Canadian Banks, Credit Unions, Pension Funds, and other financial institutions. In addition, Domain Funding has exclusive access to over $200 Million of privately managed mortgage funds and is recognized as a leading source of such funds in Western Canada. We finance every category of commercial real estate including apartment blocks, condominium projects, shopping centres, office buildings, industrial parks, development land, hotels and residential subdivisions and we are recognized for our reliable, fast, and flexible commercial financing.
About the Position:
Domain Funding currently has a full-time salaried position available for an Office Manager. This is a key position with our firm which will report to the CEO.

This position does not require prior experience in the mortgage industry. Some of the job responsibilities will include:
**Office Management**
- Managing the general operations of the office
- Maintaining office stationery and stock supplies
- File and record organization including maintenance of off-site storage
- Maintaining current knowledge of security and safety protocols, providing staff with necessary updates
- Answering phones and greeting clients
- Maintaining business licenses, contracts, memberships
- Overseeing various contracts with third party suppliers and arranging payment
- Assisting with bank deposits and other errands where required
- Managing travel arrangements
- Executive assistant responsibilities to the Principals of the firm
- Managing office renovation projects if required

**IT Assistance**
- Overseeing all IT systems, including internal productivity tools, customer relationship software and investor portal; maintaining the firm’s CRM databases
- Liaising with external IT tech support & assisting staff with day-to-day tech issues
- Maintaining all on-site IT hardware and technology including computers, laptops, office printers, photocopier/scanner, and phone system
- Managing maintenance of the company website

**HR Administration**
- Maintaining company and staff expense records
- Updating & recording staff vacations, calendars, and spreadsheet
- Processing & documenting healthcare reimbursements for all staff
- Ensuring the Office Operations Manual is current and complete
- Hiring and supervision of temporary administrative staff

**Events & Marketing Assistance**
- Event planning and execution where required

This position reports to the CEO. You will also be working directly with the Principals of the firm and as an important team member with the other employees.

This is a full-time position available Monday through Friday from 8:30am until 5:30pm each day. Our office is located in the heart of downtown close to all major bus and SkyTrain routes.

- at least two (2) years’ work experience in office administration
- Must be a resident of Canada
- experience in financial administration
- strong knowledge of IT and systems management
- a complete understanding and working knowledge of Office 365 software and cloud services

- an outgoing and positive attitude
- the ability to work independently and be self-motivated

- a dependable and highly ethical character
- a professional appearance

Post-secondary education is desirable. Experience working with WordPress, Adobe, MailChimp, and graphic or website design would all be considered additional valuable skills. On the job training and tutorials will be provided.

The salary range for this position is $50,000 - $60,000, depending on experience.
