We are seeking a highly skilled and proactive **Executive Assistant** to provide critical administrative support to our senior executive team and broader organization. Reporting to the Senior Executive Assistant, you will work closely with our leadership team, project managers, and administrative staff to ensure smooth operations while upholding accountability and confidentiality.

**As an Executive Assistant, you will be**:
- Preparing, editing, and refining business documents, including correspondence, reports, presentations, and spreadsheets.
- Maintaining and updating content on RLG’s intranet (SharePoint), ensuring internal announcements and news updates are accurate and well-presented.
- Managing complex calendars, handling scheduling conflicts, coordinating multi-party meetings, and planning detailed travel itineraries across multiple time zones while considering efficiency and executive energy levels.
- Facilitating seamless communication across teams by taking meeting minutes during leadership meetings, preparing materials, and supporting the planning of high-level meetings and events.
- Supporting business development efforts by maintaining client relationships, drafting and sending professional communications, updating the CRM database (MS Dynamics), and conducting research to support strategic initiatives.
- Coordinating travel arrangements, managing corporate credit cards and expense reporting, and maintaining accurate records and files to support efficient operations.
- Assisting in the planning and execution of company-wide events, including regional workshops, annual award events, and leadership summits.
- Collaborating with different Business Units, providing backup support to the Administration team, and working with the Global Support team to adapt to shifting priorities.
- Handling sensitive information with the highest level of discretion and professionalism, ensuring confidentiality across all aspects of company operations.

- Proficiency in MS Office (Outlook, Teams, SharePoint, OneNote, Word, PowerPoint, Excel).
- Experience with Concur, MS Dynamics, and InDesign (an asset).
- Familiarity with social media platforms (a plus).
- The ability to handle high-pressure situations with composure and professionalism.
- Flexibility for occasional early meetings and business travel (valid passport required).
**To qualify for this role, you must have**:
- **A minimum of 5 years' experience** providing administrative support at the executive level.
- Strong project coordination and data analytics skills.
- Proven ability to prioritize, problem-solve, and execute tasks with mínimal supervision.
- Experience working in a fast-paced environment where confidentiality is paramount.
