Victoria, Canada James Bay Market Society Full time

The James Bay Market operates every Saturday from May 6th to October 7th and is composed of produce, craft and food vendors. It features weekly live music and special events throughout the season. The Market Manager reports directly to the James Bay Market Society Liasson.

The contract runs from April 12 to October 18, 2025 (27 Weeks) with a value of $11,475 paid in bi-weekly increments. In addition to work done through the week, the Manager must be on site every Saturday with the market site ready for vendors by 7:30 am and stay onsite until approximately 4pm during the Market season.

The JBM has adopted an all-inclusive policy and the Market Manager is expected to share this outlook.

**1. Market Policies**
- Review and understand the policies.
- Policies are enforced by the Manager during the Summer Market.

**2. Recruiting new Vendors**
- The manager along with the Review Committee actively seek new Vendors.

**3. Qualifications**
- Have current Food or Market Safe.
- Have valid First Aid Level 1 with CPR.
- Be able to work independently and as part of the JBM Team.
- Be able to walk and stand for long periods of time and carry items up to 50 lbs.
- Have experience in market or event planning and execution.
- Have strong written and verbal communication skills.
- Have knowledge of Microsoft products, particularly Excel, Word, and filing in Microsoft 0365.
- Work under the parameters of our market budget.
- A signed Confidentiality Agreement is required at time of employment.
- Position requires successful completion of Vulnerable Sector Record Check.
- Supply the JBMS with current work-related references.

4. **Advertising the Market**.
- The Manager works in conjunction with the Advertising Committee Chair, IT & Media personnel on the advertising & social media portfolio.

**5. Special Events**
- The Manager is the lead on our events. At least 4 are staged each market year; such as Canada Day, Corn Boil, Customer Appreciation Day, Mother’s Day.

**6. Manage the Saturday Market**
- Prepare the site for vendor arrival at 7:30. This includes vendor mapping, cleaning site, preparation of the Port-a-Potty i.e., unlocking it, securing the entrance stairs, etc.
- Assist with set-up / take-down where needed, including the music station.

Interact with the Vendors and the public as follows:

- Direct Vendors to their mapped location.
- Help Vendors as needed, time permitting.
- Work with the set-up person to ensure an efficient set-up and take-down of equipment, etc.
- Market site setup completed by 8:45, takedown begins at 3 pm.
- Collect and balance all Vendor payments.
- Stay on site until at least 4 pm to confirm Port-a-Potty is locked, entrance stairs put away and the majority of vendors have departed the site.
- Answer any Vendor or public concerns as they arise. If unable to resolve, request assistance from any Board member.
- Inventory supplies and purchase as necessary.
- At the music station, take and record noise levels at least 3 times per performance.
- Work with our Vendors to resolve their concerns about performer’s noise volumes and the quality of the music.
- Prepare Excel sheets showing all performers and their pertinent data, including SOCAN information and Noise Level readings weekly.
- Work with the Volunteer Coordinator to schedule volunteers, assign their duties and keep a record of their hours of work.

**7. Duties during the week**
- Confirm Vendor and Musician attendance and assign Vendor locations with the help of the Board Liaison and hand off musicians’ payments.
- Prepare performers excel sheets showing all their pertinent data & include Entandem information and Noise Level readings weekly. ----already in there
- Work with the Volunteer Coordinator to schedule volunteers, assign their duties and keep records of their volunteer hours. ----already in there
- Keep info/coffee tent, and Market equipment supplied with assistance from Coffee tent organizer.
- Recruit volunteers.
- Update Vendor sheets, including absentee records, fines levied and other Vendor problems in Lokobuzz and in our 0365 files weekly and inform the Board Liaison.
- Confer with the Vendor Liaison weekly or more often, if necessary, to resolve issues to ensure Vendor and Board expectations are met.
- Forward all Vendor inquiries to Review Committee.

**8. Board Reporting**
- Prepare report for monthly Board meeting, including Vendor attendance and any problems.
- Attend meeting if problems arise that require the Board's attention or at the Board’s request.

**9. Administrative Duties**
- Must have a computer with up-to-date Microsoft or compatible programs, a safe place to keep records and a cell phone with voice mail and long-distance plan.
- Keep accurate up to date records of Vendors, Performers and Volunteers and their attendance and share the report to the Board weekly.
- File to our Microsoft 365 Filing system and LokoBuzz weekly.
