**Position Summary**

The Executive Assistant (EA) provides high-level administrative support to the NPAA President, Executive Director, Board of Directors, and staff. This role is essential in ensuring smooth operations, timely communication, and coordination across the organization. The EA must be proactive, organized, and aligned with NPAA’s values, contributing to a collaborative and inclusive work culture.

This position is guided by the EA Manual, which details the responsibilities, expectations, and deliverables associated with the role.

**Key ResponsibilitiesExecutive & Board Support**
- Manage and prioritize calendars for the President, Executive Director, Vice President, Program Manager and occasionally other board members as necessary.
- Schedule meetings and coordinate logistics (virtual and in-person).
- Organize travel and meeting accommodations as needed.
- Support Board meetings: schedule, prepare and distribute materials, record minutes, and track action items in collaboration with the Secretary.

**Communications Management**
- Act as the first point of contact for incoming inquiries and redirect communications promptly and appropriately.
- Liaise consistently between leadership, Board, staff, members, and external stakeholders to maintain smooth communication flows.
- Draft, format, and distribute professional communications on behalf of leadership.
- Assist in producing regular newsletters and member communications using tools like Mailchimp and Canva.
- Collaborate with staff and Board members to gather, organize, and format content for timely distribution.

**Administrative Operations**
- Organize and maintain both digital and physical filing systems.
- Manage inventory and procurement of office supplies and business resources.
- Assist with event coordination, including securing venues and preparing necessary materials.

**Qualifications**
- Post-secondary education or equivalent professional experience.
- At least 5 years of executive-level administrative support experience, ideally within nonprofit or membership organizations.
- Strong written and verbal communication skills.
- Exceptional organizational and time management capabilities.Proficient with Microsoft Office Suite, Google Workspace, Zoom, Mailchimp, Canva, or similar platforms.
- Proven ability to manage confidential information with discretion.
- Willingness and availability for occasional travel within Alberta.
- Responsive and able to address time-sensitive matters related to the Board and members on a daily basis.

**Preferred Qualifications**
- Knowledge of Alberta’s healthcare system or regulatory environment.
- Experience working in association management or supporting virtual teams.
- Comfort using technology and AI tools to enhance operational efficiency.
