**About the Role**
We’re looking for a highly organized, warm, and resourceful individual to join our coordination team. The Client Intake, Recruitment & Operations Coordinator plays a central role in ensuring smooth clinic operations and an exceptional client and clinician experience.

**Key Responsibilities**
- Manage the client intake process: respond to inquiries, assess client needs, and match clients with the most suitable clinician.
- Handle client communication, appointment bookings, and follow-ups with professionalism and care.
- Manage billing, client records, and receipts.
- Manage recruitment and onboarding of new clinicians (job postings, interviews, contracts).
- Onboard and train new team members on clinic procedures and administrative tools (SimplePractice, Google Workspace, etc.).
- Maintain and organize clinic internal documents, reports, operational SOPs, and clinician directories.
- Coordinate peer supervisions, clinician communications, and team engagement activities.
- Support ongoing administrative and operational needs of the clinic and contribute to the continuous improvement of administrative processes.

**Qualifications**
- Excellent communication and interpersonal skills in both English and French (must be fully bilingual).
- Strong organizational and multitasking abilities with attention to detail.
- Experience in client service, administration, or recruitment (experience in a clinical or health setting is an asset).
- Proficiency with Google Workspace and spreadsheets, comfort with technology and digital tools (familiarity with platforms such as SimplePractice, HubSpot, or similar tools is an asset).

**Description du poste**
Nous cherchons une personne chaleureuse, très organisée et débrouillarde pour se joindre à notre équipe de coordination. Le ou la coordonnateur(trice) à l’accueil des clients, au recrutement et aux opérations cliniques joue un rôle central pour assurer le bon fonctionnement de la clinique et une expérience exceptionnelle pour les clients comme pour les cliniciens.

**Responsabilités principales**
Gérer le processus d’accueil des clients : répondre aux demandes, évaluer les besoins et jumeler les clients au clinicien le plus approprié.
Assurer les communications avec les clients, la prise de rendez-vous et les suivis avec professionnalisme et bienveillance.
Gérer la facturation, les dossiers clients et les reçus.
Gérer le recrutement et l’intégration des nouveaux cliniciens (affichage de postes, entrevues, contrats).
Intégrer et former les nouveaux membres de l’équipe aux procédures et aux outils administratifs de la clinique (SimplePractice, Google Workspace, etc.).
Maintenir et organiser les documents internes de la clinique, les rapports, les procédures opérationnelles (SOP) et les répertoires des cliniciens.
Coordonner les supervisions de groupe, les communications avec les cliniciens et les activités d’engagement d’équipe.
Soutenir les besoins administratifs et opérationnels courants de la clinique et contribuer à l’amélioration continue des processus.

**Profil recherché**
Excellentes aptitudes de communication et relationnelles en français et en anglais (bilinguisme complet requis).
Forte capacité d’organisation et de gestion de multiples priorités, avec grand souci du détail.
Expérience en service à la clientèle, en administration ou en recrutement (milieu clinique ou de la santé : un atout).
