PARTS DEPARTMENT -Parts Manager

1. Purpose
- This job description is written as a guideline for general responsibilities and duties. Due to the nature of our business, there will be times that operational requirements necessitate performing tasks not normally assigned to this position. The enclosed description is not a limit to the position. During employee evaluations, this guideline and other operational observations will be used in determining any advancement or increases due to the employee. _

2. Scope

These duties are to be assigned to the Parts Manager and will involve offering to serve, but not limited to: Walk-in customers, phone customers, in-house technicians, welders, fabricators and other service related positions, parts staff from other branches of the company and suppliers. In addition, it will be the responsibility for this position to work with other Parts Counter Person’s in the development of their position. The job will also involve coordinating with all levels of the organization to ensure smooth operations.

3. Reports

This position reports to the Owner/Director of Operations

4. Education/Training

Employees in this position will be expected to have the following at minimum:

- High School Diploma
- Min 5 years Parts Counter experience
- Parts Technician Certification, Licensed Journey Person, ASE Certification or other related Trade certification (would be an asset)

Training for this position will be provided as necessary

5. Responsibilities

The position involves, but is not limited, to the following tasks in an average day:

- Answer requests for parts, supplies and parts advice. Bill parts to work orders and counter invoices. Verify parts on work orders before work orders are closed.
- Coordinate with other parts staff to obtain required parts and supplies. Provide training to staff in these procedures.
- Coordinate with other branches to obtain required parts and supplies. Build lines of effective communication.
- Deal with order discrepancies, pricing issues, maintain proper inventory levels and make necessary adjustments for inventory discrepancies. Facilitate creation of new part numbers
- Phone suppliers and follow up on supplier parts availability and pricing structures. Track orders as required
- Create stock orders and purchase orders, match them to invoices and have orders received in the system
- Operate forklift as required.
- Assign training to employees.
- Assist with obtaining information necessary for the creation of work orders, counter invoices, purchase orders and accounts
- Read and understand reports for inventory, sales, sales forecasting, margins, invoice pricing deviation and stock obsolescence.
- Manage employees, delegate work as appropriate, offer advice and guidance to employees. Intervene into situations to keep operations running smoothly. Maintain positive intra-department relationships
- Participate in training when provided. Make training available to employees
- Participate and enforce Health and Safety policies and procedures
- Report anything that does not seem professional conduct
- Listen to reports of equipment defects and safety concerns. Address issues in a timely fashion
- Work with customers in a professional manner. Conflict resolution.
- Wear professional attire when on company time and perform duties in a professional manner
- Maintain cleanliness of work area to the best of your abilities and hold department employees to the same standards. Practice good housekeeping
- Process warranty claims and follow up claim acceptance as required.
- Administer annual branch inventory count
- Take payment on invoices. Communicate with delinquent customers and negotiate payment terms.
- Assist with obtaining customer signatures on work orders and invoices
- Assist with soliciting new customers, building relationships with existing customers, retaining customers and assisting in bringing back customers that have gone elsewhere
- Assist all Parts department employees as required
- Assist sales and service departments with costing of parts and supplies for quotes
- Work to maintain relationship between parts, sales and service departments to the best of your professional abilities
- Research new products and vendors. Build relationships
- Research competitors pricing and work with Director of Parts Operations to keep price structures competitive
- Participate in intra-branch parts department meetings as required
- Listen to employees
- Lead by example
- Administer disciplinary actions for department employees, input on hiring new employees, input on firing employees as necessary
- Approves departmental expenditures within allowable expenses
- This position can be demanding and will require overtime as needed
- Salary is negotiable based on experience

**Salary**: $60,000.00-$80,000.00 per year
