**Job purpose**

The Event Planner works closely with the Communications and Events Manager to coordinate the seamless execution of events. The associate responsibilities will encompass meticulous planning and execution of all event details, both pre
- and post-event, ensuring a flawless experience.

**Duties and Responsibilities**

The associate’s primary functions and responsibilities are as follows:

- Execute event planning and design to ensure that all aspects of the event are delivered within the established project timelines.
- Propose ideas to improve event quality and provided services.
- Travel to both on-site and off-site events to oversee and ensure the smooth execution of event activities and logistics.
- Manage all event’s details such as decoration, catering, entertainment, transportation, location setup, equipment, and event material.
- Oversee event storage rooms and inventory, ensuring all materials, supplies, and equipment are properly organized, maintained, and readily accessible for upcoming events.
- Liaise with relevant departments to ensure a smooth event execution.
- Coordinate all logístical elements of the event.
- Manage set-up, tear-down, and clean-up operations.
- Gather supplies for event executions and maintain a comprehensive understanding of all event requirements.
- Collect and organize receipts for event-related purchases and expenses, ensuring accurate documentation for budgeting, reporting, and reimbursement purposes.
- Collect and maintain a database of employee dietary needs for company events involving food, ensuring that all dietary restrictions and preferences are accurately recorded and addressed during event planning and execution.
- Manage the company gift initiative program, ensuring the timely delivery of gifts to employees across all locations.
- Oversee the inventory of company gifts, ensuring all items are well-stocked, properly organized, and tracked in an up-to-date inventory tracker for efficient distribution and timely replenishment.
- Create and manage SRFs for event purposes, ensuring all necessary resources and support are requested and tracked for successful event execution.
- Conduct pre
- and post-event surveys and report on outcomes for continuous improvement purposes.
- Perform other assigned duties.
- Follow Health and Safety rules and regulations.
- Must follow Good Manufacturing Practices, Food Safety, and Food Defense guidelines.
- Comply with all Company policies and procedures.

**Qualifications**
- Degree in hospitality, public relations, management, or related field.
- Experience in project management with a track record of successful events.
- Excellent organizational skills with the ability to multitask under pressure.
- Strong communication and interpersonal skills.
- Creative, out-of-the-box thinking.
- Meticulous attention to detail.
- Expert time management skills.
- Financial savvy, with the ability to adhere to plan budgets and process invoices
- Ability to work in a fast-paced environment.

**Working conditions**

- Compliant with ventilation, cleanliness, space, lighting and temperature.

**Physical requirements**
- Ability to lift up to 50 lbs.
