**Role Summary**
The Property Manager is responsible for overseeing the day-to-day operations, leasing, and tenant relations for a portfolio of properties primarily composed of **commercial tenants**, with supplemental oversight of a small number of **residential units**. This role ensures properties are professionally managed, financially successful, well-maintained, and aligned with the standards of the Patry Group of Companies.
This position requires a proactive, organized, service-oriented professional with strong communication, leadership, and financial management abilities.
**Key Responsibilities**
**Commercial Property Management (Primary Focus)**
- Manage the daily operations of commercial properties, including retail, office, mixed-use, and service-based tenants.
- Build and maintain strong tenant relationships through regular communication, property visits, and responsive service.
- Administer all aspects of commercial leasing, including renewals, rent escalations, lease compliance, tenant improvements, and documentation.
- Coordinate maintenance, repairs, capital projects, and contractor performance.
- Conduct routine property inspections to ensure sites are clean, safe, and compliant with operational and regulatory standards.
- Lead tenant onboarding and move-in/move-out processes to ensure a smooth transition and positive tenant experience.
- Support leasing efforts by collaborating with the leasing team on availabilities and tenant placement.
**Residential Property Responsibilities (Secondary Focus)**
- Assist with residential tenant communication and maintenance concerns as required.
- Support leasing activities as they pertain to move in/out coordination and unit turnover.
- Ensure compliance with the Residential Tenancies Act and company policies.
- Conduct unit inspections and coordinate turnovers to maintain Patry standards.
**Financial & Administrative Duties**
- Manage rent collection and monitor arrears; work with tenants to resolve delinquencies professionally.
- Prepare, analyze, and maintain annual operating budgets for each property.
- Approve invoices, track expenses, and ensure adherence to financial targets.
- Prepare monthly property management reports for internal leadership.
- Prepare Common Area Maintenance (CAM) budgeting and annual reconciliation processes.
- Maintain accurate and organized documentation within company systems and software, including ledgers, lease abstracts, and other property-related records.
**Maintenance & Building Operations**
- Oversee preventative maintenance schedules and ensure work orders are completed promptly and correctly.
- Respond to emergency situations and coordinate corrective action with contractors or internal teams.
- Verify completed work to ensure quality and consistency with Patry Group maintenance standards.
- Monitor HVAC systems, security systems, and other building infrastructure to optimize performance and reduce downtime.
**Tenant Relations & Customer Service**
- Serve as the primary point of contact for tenant inquiries, concerns, and questions.
- Foster a positive tenant experience through professional communication, responsiveness, and problem-solving.
- Issue tenant notices, coordinate meetings, and support long-term tenant satisfaction and retention.
**Qualifications**
- 5+ years of property management experience, preferably within commercial real estate.
- Strong knowledge of commercial leasing practices and familiarity with the Residential Tenancies Act.
- Excellent communication, negotiation, and conflict-resolution skills.
- Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Proficiency with property management software and Microsoft Office Suite.
- Valid driver’s license and reliable transportation.
- Professional certifications such as CPM, RPA, or equivalent are considered assets.
