**What You Will Do**
This role oversees a team of ~1+ Medical Office Administrator and several service providers. The Clinic Manager/Medical Office Administrator position is a dual role; both roles are part time in nature. Works closely with the Clinic Director.
**Leadership**
- Promote the clinic culture
- Primary point of contact for Office Administrators, Clinic Providers, community members
- Weekly meeting with Clinic Director
- Assist Clinic Director with continual process improvement and efficiency of systems
- Job postings, vetting resumes, interviews, hiring, on-boarding and training of new Office Administrators, Service Providers, placement students
- Operational success of the entire PCW team with support
- Monthly team meetings with PCW staff; organize agenda for meetings and complete and post meeting minutes in a timely manner for review by team
- Making quarterly targets (call backs, reviews, treatment plan booking, etc); taking proactive measures to ensure smooth operation of the clinic
- Maintain budget requirements for the clinic i.e staffing hours, petty cash, inventory etc.
**Client Experience**
- Ensure front desk décor, cleanliness, and setup is top notch
- Ensure clients book out their future sessions as per their treatment plan.
- Participate in community outreaches and business development initiatives to generate new assessments and revenue growth
- Develop and participate in ongoing mentorship and educational workshops
**Operations**
- Provide weekly scoreboards inclusive of feedback
- Ensure compliance with Client experience operations - Win-back-calls, Retention calls, Confirmation calls, Reviews, Client Satisfaction survey, new client Registry, etc.
- Oversee scheduling of Client appointments, invoicing, collections, outstanding payments
- Generate & monitor all call back/cancellation/confirmation call logs
- Payment reconciliation & outstanding billings
- Payment reconciliation audits
- Inventory management - ordering of stock & supplies
- Respond to time off requests, questions/concerns within a sufficient time frame
- Staff correction and or redirection
**Marketing**
- Bi-weekly marketing meeting with Marketing Team
- Coordinating, participating and assisting with outreach programs or delegate
- Other duties as assigned
**Who You Are?**
- Open-minded and adaptable to new workflows and business initiatives
- Excellent work ethic with strong interpersonal and time management skills
- Experience with Jane technology is an asset
- Experience with operating a wellness clinic with a minimum of 1 year required; training and orientation will be provided
