Show & Event Rentals Coordinator

Position Overview
We are seeking a detail-oriented and customer-focused Show & Event Rentals Coordinator to join our dynamic team. In this role, you will manage rental orders, coordinate logistics, and ensure timely delivery and setup of event rental items. You will also possess exceptional attention to detail with strong organizational skills. You will be responsible for all aspects of the event from the initial communication through to final post discussion and evaluation with client.
Key Responsibilities
- Serve as the primary point of contact for rental inquiries and orders.
- Prepare quotes, process rental agreements, and maintain accurate records.
- Liaise with event organizers for all their requirements, floor plans, diagrams, rental items, logistics, graphics and services.
- Venue coordination and logistics (sourcing and communicating deliverables)
- Manage all staff to ensure efficient and timely set up and dismantle which at times will require you to be on-site for event set up and tear down (this will involve evenings & weekends)
- Liaise with clients and Robinson staff both during business hours and evenings and weekends via company cell phone provided
- Proactively troubleshoot and provide timely solutions for any issues that arise throughout the process
- Manage costs and maintain acceptable profit margins
- Reaching out to prospective clients to provide rentals items for their events
- Attending client site visits and completing presentations at meetings and some events to promote the company and close new business.
- Continuously update all activities and outcomes in our CRM program
- Relationship building with prospective clients including networking at specific events.
- Support and assist all Robinson team with various duties
**Qualifications**:
- Previous experience in event coordination, rentals, or logistics preferred.
- Strong organizational and time-management skills.
- Excellent communication and customer service abilities.
- Proficiency in Microsoft Office and inventory management systems.
- Ability to work in a fast-paced environment and handle multiple priorities.
- Flexibility to work evenings and weekends as needed for events.
MUST be able to work Flexible Schedule including, days, early mornings/late evenings and weekends
