Under the direction and supervision of the Supervisor of Printing, Graphics and Mail Services, the Clerk B is responsible for providing secretarial, data entry, clerical, receptionist duties, and for processing accounting transactions on behalf of the Branch.
**As the **Clerk B Printing Services** **you will**:
- Performs reception duties and provides administrative support for the Printing, Graphics and Mail Services Branch.
- Responsible for processing all transactions relating to the Branch Purchasing Cards.
- Processes all business card orders for departments.
- Generates Purchase Orders (in PeopleSoft) for the Branch and for the Division when required.
- Prepares and enters journal entries into PeopleSoft.
- Prepares invoices for billing external clients.
- Maintains various filing systems, on a daily basis.
- Compiles data and prepares monthly statements for payment of Provincial Sales Tax.
- Responsible for ordering office supplies and equipment for the Branch.
- Responsible for arranging archiving of all financial files.
- Prepares year-end inventory report.
- Provides production assistance when required in the Print Services Section.
- Acts for the Print Purchasing Agent, as required.
- Performs other duties consistent with the classification, as required.
**Your education and qualifications include**:
- High school graduation and completion of a secretarial business course, basic accounting course, or equivalent combination of education and experience.
- Previous experience providing clerical/administrative support in a customer service environment.
- Demonstrated ability to type accurately at 40 wpm net
- Demonstrated proficiency (Advanced) in the use of Word, Excel, Access, and Outlook.
- Demonstrated proficiency in PeopleSoft Finance modules, including purchasing module.
- Demonstrated ability to work in a high stress environment, planning and completing assignments with mínimal direction.
- Demonstrated working knowledge of general accounting procedures, reconciliation, and journal entries.
- Excellent interpersonal skills, with demonstrated ability to establish and maintain effective working relationships with clients and suppliers, and provide a high level of customer service.
- Ability to work effectively and independently with a high workload, and meet timelines under stressful conditions.
- Ability to pay attention to detail and maintain accurate files and records.
- Demonstrated working knowledge of the City's purchasing policies and procedures.
- Must have acceptable attendance record in accordance with the Attendance Management Policy.
- Experience with print production is an asset.
