Order and Billing Administrator

Reporting to the Controller, the Order & Billing Administrator will ensure sales transaction activities flow smoothly to completion combined with a high level of client service. This role requires familiarity to navigate between internal business systems, effective communication, and high accuracy. **HOW YOU WILL CONTRIBUTE** - Liaise with other departments: Sales & Marketing, Logistics, Regulatory, Customer Support, and IT to ensure sales transactions are recorded & processed efficiently & accurately from sales to collection. - Create, validate and release sales orders ensure customer is in good standing to place order, items are available and approved (by Regulatory) to sell, and correctness of all details such as address, contact info, delivery date, shipping method and other special instructions; confirm dispatch status and issue invoices in accordance with corresponding incoterms. - Set up new customers including credit reference check for applicable credit term. - Handle post sales services such as: shipment tracking, order replacement, refund, credit note, price adjustments; connect communication regarding quality or compliance, etc. - Send out accurate and timely statements of accounts, perform customer account reconciliations and make collection efforts to keep customer accounts to date. - Manage client’s relationship, provide accurate and comprehensive product information to customers, explore sales opportunities and promote product offerings to our customers. - Generate various reports from customer related records as instructed. - Complete registration or other account setup process as requested by customers. - Maintain proper filing of customer documents such as contracts, tax forms and other government documents. - Perform other duties as required. **WHAT YOU BRING** - 1-3 years of customer service or administrative sales experience - 1-3 years of accounts receivable experience - Bachelor's degree from accredited post secondary institution. - Detail & Customer-oriented, ability to work in a fast-paced environment and complete manual data entry - Experience in any ERP system, power BI report is an asset - Self-motivated, able to multi-task and properly prioritize with a proactive approach. - A CPA designation with experience in audit and tax - Post-secondary education in business administration, accounting, finance or equivalent - Previous experience using large ERP systems - Experience working with numerous share capital and stock options - Proficiency with MS Office with an emphasis on Excel (Word, Outlook, PowerPoint, Teams) - Previous manufacturing experience with exposure to complex Bill of Materials (BOMS) is ideal - Experience working in a public company is preferred - Experience with tax software (Avalara), US sales tax and US GAAP is considered an asset **WHAT WE OFFER** - A competitive compensation package - Extended health benefits including dental - 100% employer contribution - Flexible working hours - Paid sick days - Bonus day off with pay on your birthday every year - Full-size in-house fitness gym and shower facilities - Complimentary reserved parking - Opportunity to work with industry experts who are motivated and passionate about what they do but know how to have some fun - A chance to show off your dance moves and singing voice at the company parties and jump in to score a victory or lead the way in our outdoor games at the summer barbeques - The opportunity to join an ‘off the charts’ foodie culture in our large kitchen and try out your favourite recipes or enjoy the culinary delights as they hit the share table The annual base salary for this job ranges from: $50,000-60,000 bioLytical's pay range is based on multiple factors including experience, education, job-related skills, and equity within the team or organization. **ABOUT BIOLYTICAL** bioLytical Laboratories Inc. is a privately-owned Canadian company focused on the research, development and commercialization of rapid in-vitro medical diagnostics using its proprietary INSTI® technology platform. bioLytical has won several local and industry awards, including BC Exporter of the Year in 2019 and the Globe and Mail’s Fastest Growing Companies list in 2020.
