**The Opportunity**

The Office Administrator has primary responsibility to support the day to day requirements of the team and to ensure the smooth operation of the Business Units. The Office Administrator will support the activities of the team on a day-to-day basis and act as the “go-to” person. The associate is an energetic individual who enjoys problem solving and is inherently cooperative. A strong communicator, with exceptional written and verbal communication skills, the Office Administrator will cover the reception desk, take ownership of all assigned job duties and meet competing deadlines. Demonstrated initiative and the ability to complete tasks with mínimal instruction and oversight are imperative to success in this position. In addition, you will provide human resources support in collaboration with our HR Team.
**The Job**
- Provide administrative support including coordinate incoming and outgoing mail and couriers, sending and receiving general office correspondence, preparing and assembling documents and assisting with administration of all office functions that are assigned
- Receive and greet visitors to the office
Manage car, hotel bookings and meeting room bookings
- Order lunch for staff meetings as needed
- Order gifts and flowers for associates
- Coordinate new hire first week in collaboration with the HR Coordinator
- Ensure the office environment is orderly and professional at all times
- Main contact for office equipment and facility to facilitate any issues with building manager and contractors (e.g. photocopier, printer, coffee machines etc.)
- Provide administrative and clerical support to Senior Executives
Maintain a suitable inventory of all appropriate office and kitchen supplies
- General office upkeep including maintaining the kitchen, boardroom and other areas of the office
- Month end reconciliation of corporate expenses
- Assist with planning office social events
- Serve as a first point of contact to the office for members of the community and external parties who have interactions with Sandvine
- Assist in events, project plans and budgets quantifying site/region value-add contributions
- Liaise with Finance team regarding payment to vendors
- Keep up-to-date on updates/changes to the ISO 27001 standard to ensure we are compliant
**What Skills You Bring**
- Minimum of 2-3 years’ experience in an administrative capacity or as an Administrative Assistant in an office environment
- Post-secondary diploma or degree in business administration or commerce (or an equivalent combination of education and experience)
- Ability to manage competing priorities in a busy office environment
- Highly cooperative, demonstrates a willingness to assist others and take on new responsibilities
- Ability to build and maintain effective working relationships with team members
- High degree of personal responsibility and accountability
- Attention to detail
- Self-motivated with proactive approach to completing tasks
- Works with a sense of urgency and is able to meet deadlines
- Excellent verbal communication skills with professional telephone manners
- Ability to exercise good judgment, tact and diplomacy
- Excellent communication and organizational skills
- Superior interpersonal skills and an aptitude for leading with initiative
- Developed analytical, decision making and problem-solving skill
