**Job Description - Sales/Community Relations Manager - Retirement Residence**
- **Reports to**:_ General Manager and/or Management Company
- **Qualifications**:_

1. Graduate of a post-secondary sales and marketing program or related programs.

Previous employment in a health care/hospitality setting an asset.

Demonstrated understanding of/empathy for the needs of seniors.

4. Experience in developing and implementing sales and/or marketing plans, public and community relations campaigns and special events.

5. Experience in developing and managing budgets.

6. Knowledge of and experience in the seniors’ market, public health sector and private health sector.

7. Experience in event planning.

8. Experience with Customer Relationship Management systems.

Demonstrated experience in managing a budget.
- **Physical Demands**:_

1. Sitting for extended periods at a desk for computer/typing work.

2. Standing for extended periods of time as required.

3. Walking short distances and up/down staircases.

4. Typing and/or use of a computer keyboard proficiently.

5. Pulling/pushing/lifting to open and/or relocate binders, carts, etc. up to 10lbs.

6. Reading/seeing documentation both in paper format and on a computer screen for extended periods of time.

7. Hearing differences in phone ring tones and/or in fire system horns or alerts for emergency response purposes.

8. Speaking/communicating in front of audiences and with individuals.
- **Responsibilities**:_
- **Planning**_

1. Develop and implement annual and quarterly sales and marketing plans that will introduce and bring the following groups on-site or initiate contact with the residence:

- Community influencers - public health care providers such as case managers, discharge planners, social workers, therapists, doctors, community associations, senior centre, etc. directors
- Private health care providers
- Family influencers
- Eligible seniors
- Referral sources - existing prospects in the database, trust companies, financial planners, bankers, lawyers, real estate agents, politicians, clergy, etc.
- **Prospect Management**_

1. Work closely with the General Manager and Management staff to maximize the number of prospects that become residents.

2. Keep updated and supervise the maintenance of a completed and current lead management and prospect database that includes: prospects, community influencers, family influencers, etc.

3. Closely monitor the residence’s wait list to ensure vacancies to needs are promptly addressed and prospects on the wait list are regularly communicated with.

4. With the General Manager, review the status of the resident population on a regular basis in order to proactively work on potential vacancies.

5. Ensure that regular communication regarding upcoming potential move-outs and move-ins is shared with the Management team.
- **Marketing**_

1. Create a marketing plan for the year and manage the marketing budget.

2. Research, plan, budget and coordinate the execution of on-site and off-site marketing events that attract prospects and referral sources.

3. Plan, budget and coordinate regular “one-on-one” meetings with community influencers and seniors’ groups that will educate and keep them current on the residence’s offerings and services. Seek out and negotiate sponsorships if possible.

4. Research local community publications and newspapers for advertising appropriateness and editorial opportunities.

5. Review competition availability, status and offerings on a regular basis.
- **Tour and Sales Management**_

1. Train designated staff to conduct tours.

2. Develop a 7-day rotating schedule for on_**-**_site staff, including self, to receive prospects and conduct tours.

3. Book and conduct tours of the residence with prospects, family and community influencers.

4. Conduct prompt and appropriate follow-up on all visits and inquiries.

5. Call-out to all leads in the existing database to maximize all opportunities available to have potential clients become a resident.

6. Manage the overall leasing process from start to finish - prospect to resident.

7. Complete paperwork for all new rentals, and maintain current and in-depth content knowledge of the residence’s Residency Agreement, Information Package and Resident Handbook.

8. Ensure model suites and/or show rooms are in proper order and always ready for tours.
- **Administration and Reporting**_

1. Assume responsibility for all administrative duties related to managing the database and prompt communication with prospects.

2. Complete all marketing reports promptly and correctly.

3. Attend and present community activities at marketing meetings, and conferences if applicable.

4. Keep the General Manager apprised on community issues or concerns before they negatively impact residents, staff or prospect.
