**DUTIES AND RESPONSIBILITIES**:
**Assistance to the President & CEO**:
- Uses discretionary initiative and judgment in handling confidential information, establishing priorities, and resolving problems relating to day-to-day operations and administrative details of the office.
- Schedules and maintains a calendar of appointments, meetings, travel itineraries and coordination-related arrangements.
- Accompanies the President & CEO in meetings if assistance is needed.
- Initiates and composes routine and non-routine correspondence and memoranda.
- Maintains an effective filing system.
**Assistance to the Organization of Committee meetings**:
- Arrange logistics of Committee meetings. Coordinates and communicates with the attendees for the Committee meetings including venue, agenda, presentations, etc.
- Prepares and distributes minutes of the Committee meetings.
- Consolidates the deliverables from the Committee meetings and monitors the progress.
**Assistance to the Corporate Secretary**:
- Updates and maintains corporate records on the authorized signatories roster.
- keeps all original President Office signed internal documents that are of value to the Bank, such as but not limited to memos, agreements, policies, manuals, charters, minutes, etc.
**Assistance to Archive Custodian**:
- Responsible in maintaining the Official, Legal, Bank Assets and Internal Information and Publication of the Bank.
**Confidentiality Management**:
- Ensure implementation (Managing Confidentiality documents, including filling, documenting etc. Able to handle sensitive and confidential information appropriately)
**Qualifications**:
- Bachelor’s Degree in Business Administration or equivalent in relevant field.
- Multi-language (English, Mandarin ) preferred. (Excellent oral and written skills in both English and Mandarin).
- Experience with a multinational organization highly desired.
- Look for new ways of handling multiple tasks and tolerating time pressure (Abilities to handling multiple tasks and able to work under pressure). Extremely organized and detail oriented.
- Think creatively to explore different avenues as a way of embracing change.
- Ability to maintain good working relationships with co-workers and external personnel.
- Listens and responds constructively to other team members’ ideas (Strong communication and interpersonal skills).
- Provides assistance, information, or other support to others to build or maintain relationships with them.
- Excellent written and verbal communications skills.
- Ability to balance multiple priorities and to work under tight deadlines while providing consistent and professional service.
- Demonstrates support for organizational changes needed to improve the Bank’s effectiveness.
- Willing to work and meet needs of other departments/branches.
- Timely provide needed work to other departments/branches.
- Take responsibility for one’s own performance by setting clear goals and expectations, tracking progress, getting feedback, and addressing performance problems and issues promptly.
