**Position description**:
Reporting primarily to the Operations Coordinator, the Administrative Assistant provides secretarial and administrative support to the Facilities Management leadership team, FIXIT, and department.

Duties include performing front-office reception services, preparing correspondence, announcements and meeting minutes, performing data entry, compiling statistics and reports, maintaining filing systems and databases, arranging appointments, maintaining the departmental webpage, and providing general administrative support and other related duties and responsibilities.

**Position Responsibilities**
- Exercise judgement to determine the seriousness and sensitivity of the inquiry and to whom it should be directed in order to most effectively resolve the issue and/or protect the university
- Provide general administrative support to FM leadership team
- Prepare correspondence and assist in the development of relevant departmental materials
- Maintain and reconcile FM records, and follow up and resolve any discrepancies with support of the Director of Facilities Management or designate(s)
- Update and maintain the FM webpage ensuring information remains current and up-to-date
- Take and provide minutes at all FM meetings as required
- Maintain departmental filing systems, including the removal of files and the insertion of new files as needed
- Maintain office equipment including supplies and repair calls, and FM key box operation
- Complete other related duties as assigned

**Qualifications/skills**:

- High school diploma
- Minimum of one year course or diploma in office management or equivalent
- One to three years of related experience in general office administration
- Excellent written and spoken communication skills
