As the Administrative Assistant you will be an integral part of the Urban One team performing reception duties, providing administrative support to various teams within our office and project sites, as well as being our first point of contact with clients, vendors, and visitors.
**ESSENTIAL FUNCTION AND RESPONSIBILITIES**
- Client services which include greeting and welcoming guests
- Answer and re-direct incoming calls
- Provide administrative support to other departments, including Estimating, People & Culture, Safety, and Accounting.
- Administrative duties including filing, scanning, photocopying, document creation using standardized office templates, and data entry
- Retrieve and sort incoming mail, handle outgoing mail and couriers
- Assist with meeting room schedules
- Facilitate set up and take down for internal and external meetings/training sessions, ensuring space is tidy before and afterwards
- Assist with catering requirements for meetings as required
- Manage office supplies for Head Office and project sites, including monitoring, preparing orders as needed
- Monitor office equipment and assist with troubleshooting; arrange service as required
- Provide high-level administration to the leadership group including travel arrangements
- Ensure all public office areas are clean, tidy, and adequately supplied
- Oversee kitchen including coffee station, dishwasher, snack supplies and general tidiness
- Handle offsite Iron Mountain storage requests
- Maintain office and parking signage programs, floor plans, and parking assignments including fob activation and deactivation
- Liaise with HR to ensure that new hires have clear and ready office spaces
- Assist with social event planning and management
**EDUCATION AND EXPERIENCE**
- 1-2 years experience in an administrative support role
- Knowledge of the construction industry an asset
- Basic understanding of accounting an asset
- Excellent time-management and multi-tasking skills
- Ability to maintain data records with a high degree of accuracy
- Ability to exercise mature judgment and initiative; demonstrated tact, diplomacy, professionalism at all times
- Professional communication skills
- Courteous, helpful, honest
- Self-motivated with the ability to work both independently as well as part of a team
- Proficient in MS Outlook, Word, Excel & PowerPoint
