With a commitment to prompt service, professionalism, integrity, and confidentiality, we are looking for a reliable and organized **Administrative Assistant** to support daily operations and ensure an excellent client experience.

**Key Responsibilities**:

- Provide general administrative support including scheduling appointments, answering client inquiries, and preparing documents
- Maintain and update client records and documentation in compliance with regulatory standards
- Assist with onboarding new clients, ensuring accurate and timely completion of paperwork
- Handle incoming and outgoing correspondence, both physical and electronic
- Maintain office organization, supplies, and filing systems
- Perform basic bookkeeping tasks and manage expense tracking using QuickBooks
- Liaise with financial institutions and service providers as needed
- Provide support with compliance documentation and audits
- Prepare reports and assist in presentation preparation for client meetings

**Qualifications**:

- **Minimum 2 years of administrative experience**, preferably in a financial services or investment advisory environment
- **QuickBooks experience is strongly preferred** - bookkeeping, invoice tracking, and expense management
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Familiarity with financial documents (e.g., investment statements, account forms) is a strong asset
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines
- Ability to maintain confidentiality of sensitive information
- Strong attention to detail and accuracy in data entry and proofreading
- Excellent communication and interpersonal skills
- Professional phone etiquette and customer service skills
