Project Planning and Scheduling:

- Assist the Project Manager in developing and managing project schedules, timelines, and resource allocation for demolition and deconstruction projects.
- Update project schedules in FieldFlow and the company calendar to ensure alignment with project goals.
- Coordinate with the Project Manager to prioritize commercial jobs and avoid scheduling conflicts with residential projects.
- Logistical Coordination:

- Arrange rentals (e.g., bins, bathrooms, fencing) and ensure timely delivery to job sites.
- Book accommodations and ferry reservations for out-of-town jobs, optimizing for cost-effectiveness.
- Ensure vehicles are fueled, inspected, and loaded with tools/equipment the night before job start.
- Coordinate with vendors to confirm resource availability and delivery timelines.
- Conduct site visits to monitor progress, verify resource availability, and address logístical issues, minimizing disruption to local communities.
- Documentation and Reporting:

- Maintain comprehensive project documentation in the job folder ([5-digit quote reference number][job nickname][address]), including contracts, drawings, and correspondence.
- Utilize FieldFlow to track project progress, log communications, and update schedules.
- Assist with logging invoices, submitting progress payments, and tracking job costs (e.g., labour, rentals, disposal).
- Support the Project Manager with Wednesday and Friday project recap reports, documenting progress and challenges.
- Ensure all project documents are filed and submitted to clients as required, coordinating with Administration for final invoicing and permit deposit refunds.
- Communication and Collaboration:

- Facilitate communication between Project Manager, Foreman, Administration, and vendors to align on project goals and timelines.
- Touch base with clients one week before job start (as directed by the Project Manager) to confirm logistics or changes.
- Support the Project Manager with post-project reviews to evaluate efficiency and sustainability outcomes.
- Job Closure and Demobilization:

- Assist with final site walkthroughs to ensure quality and readiness for client sign-off.
- Coordinate demobilization, including removal of bins, bathrooms, and fencing.
- Ensure waste and salvage materials are processed per Deconstructors’ Vancouver Island recycling and donation plan, supporting partnerships with organizations like Habitat for Humanity.
- Verify all deliverables (e.g., reports, clearance letters) are sent to clients in coordination with Administration.

**Requirements**:

- Proven experience in project coordination within the construction or demolition industry.
- Proficiency in construction management software (e.g., FieldFlow, QuickBooks, CRM) for project tracking and documentation.
- Familiarity with blueprint reading and project specifications (Divisions 0, 1, 2).
- Knowledge of civil engineering software (e.g., Bluebeam) or GIS zoning maps is a plus.
- Excellent organizational and time management skills to prioritize tasks in a fast-paced environment.
- Strong written and verbal communication skills for collaborating with diverse teams and vendors.
- Ability to conduct site visits, requiring steel-toe boots, high-visibility vest, hard hat, and clean company vehicle.
- Experience with cost tracking or estimating processes (e.g., HeavyBid) is an advantage.
- Proactive problem-solving skills, with the ability to work independently and as part of a team.
- Valid driver’s license and ability to travel to job sites across Vancouver Island and beyond.

Pay: $25.00-$33.00 per hour
