Warehouse Administrator Supervisor

**Job Summary Statement**:
The Warehouse Administration Supervisor is a working supervisor, who directs and oversees the day-to-day functions of Warehouse Administration team, on all shifts, and assists in both the administrative and operational responsibilities as and when required. This position requires the individual to work in a dynamic environment and exercise prompt decision-making and problem-solving abilities. The Warehouse Administration Supervisor will provide accurate, valid and complete information by using the right methods and tools. The Warehouse Admin Supervisor is responsible for coordinating, directing, and investigating any discrepancies to customer requirements.
**Essential Functions & Responsibilities**:
**Office Administration/Customer Service**
- Scheduling and supervising the activities and the functions of the warehouse administration staff
- Assigning daily tasks and evaluating the work of direct reports.
- Ensuring the proper and timely completion of all warehouse administration activities.
- Responsible to ensure company safety policies are followed and safe work habits are utilized by all personnel and visitors. Wears personal protective equipment as required.
- Assists Warehouse Management with training new staff as assigned.
- Performs other duties as required within his abilities as requested by management.
- Treats everyone with dignity, trust and respect.
- Observes and reports any security issues to the Facility Manager and the VP, Operations and VP, Customer Service
- Presents a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions.
- Assembles data and prepares periodic and special reports, manuals and correspondence as required by the VP, Customer Service.
- Receives orders (via ProVison/Fax/EMAIL/WEB), process and verify orders from customers if required.
- Initiates required action for response to customer service requests and follows up on such requests.
- Provides quality service to both internal and external customers.
- Co-ordinates with shipping to ensure orders are shipped as requested by customer.
- Confirms inventory status with pick and pack/warehouse. If necessary, contacting customer with required changes.
- Releases new orders to shipping daily.
- Matches shipping documents to orders shipped.
- Reviews the daily update of open order report
- Supports/Participates in the organizations Continuous Improvement Plan
- Assigns the highest priority to customer satisfaction while meeting commitments to achieve business objectives
- Practices and maintains integrity while following the Company policies and procedures.
- Creates a positive work environment by demonstrating and sharing functional/technical knowledge
- Responsible for promoting and seeking excellence in all aspects of business
- Provides coverage for Admins on vacation and/or days off
- Provides extra support to warehouses during peak seasons
- Works closely with the Warehouse Supervisors and CSR Supervisors to ensure all SOP’s are being followed
- Provides training for all new Warehouse Admins
- Assists with any inventory discrepancies or issues prior to them being brought to the inventory team
- Performs other related duties as assigned by Management
**Logistics Support Duties - Provides training and support to all admins for the following**
- Print labels for all inbound shipments if required
- Ensures that all Admins are filing all BOL’s and receiving paperwork by the end of each day, as well as being scanned into the drive
- Accurately completes all BOL’s for outbound shipments including ship date, P.O. Number, delivery method, trailer number and description of goods
- Validate every single item of the receiving document to ensure BRIMICH required receiving paperwork matches the inbound packing slip.
- Once receiving documentation is compiled, provide the appropriate package to the warehouse staff, in order for them to physically verify the product.
- Reconcile as needed
- Ensures effective communication from the warehouse to the office on a daily basis from the admins
- Other duties as assigned
**Job Specifications—Skills and Competencies**:
- 3-5 years of Office Administration experience in a warehouse environment.
- Must be proficient in both written and spoken English.
- Proven ability to work as a team or individually.
- Excellent organizational skills, and attention to detail.
- Must be a self-starter and a team player.
- Exceptional computer knowledge with respect to Microsoft Office Suite (Outlook, Word, Excel, PowerPoint etc.
**Education & Training Requirements**
- A university degree or college diploma in business or public administration required.
