**Position Details**

Under the supervision of the Manager of Finance and Administration, the Purchasing & Shipping Clerk is responsible for performing a broad range of procurement and shipping duties. The primary function of the position includes the procurement of goods and services for the organization and its employees. This individual is also responsible for ensuring that employees, learners/families, and other stakeholders receive deliveries of equipment, supplies and other goods in a timely manner to ensure operational efficiency.

The Purchasing and Shipping Clerk also:

- Performs daily purchasing based on employee requests and to maintain stock levels and fulfill employee requests.
- Processes requisitions, prepares purchase orders, and ensures all necessary details are included for order placement. Obtains and evaluates vendor quotes, providing options as needed.
- Places orders, receives goods, and verifies that items match requisitions and purchase orders. Will forward completed documentation to Accounts Payable for payment.
- Coordinates shipments to and from APSEA employees and external contacts, including preparing packages and liaising with shipping companies.
- Executes purchases via credit card with proper approvals, maintains purchase records, and reconciles transactions with statements for Accounts Payable.
- Monitors and updates records of open purchase orders, transactions, and shipments, and communicates with staff regarding outstanding items.
- Maintains accurate supplier account information in the accounting system and relevant databases.
- Determines optimal shipping methods and addresses logistics challenges to enhance efficiency and cost-effectiveness.
- Regularly reviews purchasing data in the accounting system to ensure vendor commitments are met and supports budgeting and forecasting.
- Manages inventory of office, maintenance, and shipping supplies, ensuring availability and organization in the stockroom.

**Requirements**:

- Completion of High School/GED Certificate is required.
- Minimum of three (3) years work experience in a purchasing and inventory control role.
- Experience in a shipping role is preferred.
- Exceptional interpersonal and communication skills.
- Strong work ethic and positive team attitude.
- Ensures that all procurement policies and standards (typically following those of the Province of Nova Scotia) are adhered to and followed.
- Frequent standing, bending, and lifting is expected. Must be able to lift and maneuver items weighing up to 50 pounds.
- Exceptional organizational skills, attention to detail, and ability to maintain accurate records.
- Skilled in accounting software (SAP), Microsoft 365 (Word, Excel etc.), and Outlook.
- Strong problem-solving and time management skills are required to ensure work can be completed effectively and in a timely manner to optimize operations.
- Proven experience in using several known procurement principles to secure the best possible prices. (e.g., consolidating major purchases to obtain the lowest possible price by leverage).
