We are currently recruiting a full-time permanent Estimating Administrator within our Property Damage & Restoration Services Division. Reporting to the Estimating Manager, this role will provide essential support to our team of five Core Estimators, helping to streamline estimating processes, coordinate documentation, and manage subcontractor data.

This position is Monday-Friday from 8:00am-4:00pm and will be based out of the main office in Bolton at 27 Nixon Rd.

**RESPONSIBILITIES**
- Set up new estimates and provide ongoing assistance to the Core Estimating Team
- Coordinate and facilitate communication between Estimators and Insurance Adjusters
- Track daily activity and file progress using internal tracking software
- Monitor job flow status to ensure jobs are progressing, KPI metrics are met, and open jobs are closed in a timely manner
- Collect and upload documentation using Xactimate (XA), Encircle, and PSA systems
- Manage estimate revisions requests through Contractor Connection (excluding large loss)
- Prepare and send ICC requests and ensure estimates are updated accordingly
- Obtain subtrade quotes for speciality building components
- Screen invoices for accuracy and cross-check with job flow and trade compliance
- Maintain and update trade partner lists as required by the estimating team
- Vet and track new subcontractors for eligibility and compliance
- Track inspection fees and ensure documentation is properly recorded
- Follow up on pending files and tasks, including outstanding fees and incomplete jobs
- Assist in closing job files, including status changes capturing all associated fees and invoicing
- Support co-op student training and onboarding within the Estimating department
- Perform other administrative duties as assigned by the Restoration Team

**QUALIFICATIONS**
- Minimum of 2 years of administrative experience within the Restoration Industry.
- Post-secondary diploma in Business Administration or a related field.
- Proficiency in industry-specific software such as Xactimate, Encircle, Symbility and PSA is strongly preferred.
- Advanced skills in MS Office Suite, including Outlook, Excel, and SharePoint
- Ability to manage multiple tasks efficiently while meeting strict deadlines.
- Exceptional attention to detail and strong organizational skills.
- Excellent verbal and written communication skills.
- Professional and respectful approach when interacting with clients.
- Team-oriented mindset with the ability to take direction and collaborate effectively.

**REQUIREMENTS**:

- Basic security clearance (clear criminal record check) is required
- Availability to work Monday - Friday 8:00 am to 4:00 pm
- Active participation in on-going training and safety certifications as needed
