**Position Summary**:
The Seabird Employment Center is providing an opportunity for a pre-employment Supports Program (PESP) Administrative Assistant. Responsibilities will include answering phones, booking appointments for clients, file management, organizing and other clerical duties. This position will also require the successful applicant to be able to provide exceptional client and customer service; courteous, friendly, and professional assistance to clients from a broad demographic.

**Qualifications/Requirements**:
- 1-3 years office experience is preferred
- Ability to balance competing priorities, meet deadlines and to work under pressure with mínimal supervision.
- Ability to practice efficient time-management within the workplace
- Advanced computer skills including spreadsheet, graphics, records tracking and office calendar/scheduling software
- Career Development Practitioner certification is an asset
- Certificate/Diploma in Business or Office Administration is considered an asset
- Comprehensive knowledge of MS Office Suite
- Directly related experience as a First Nations Administrative Assistant would be an asset
- Excellent verbal, written and listening skills and proven ability to adjust style for various audiences
- Knowledge of the Stó:lō Culture, traditions and language would be an asset
- Maintains highly professional and ethical standards
- Proficient in dealing with the public and staff in a confident and courteous manner
**Primary Responsibilities**:
- To organize and administer the administrative activities of the pre-employment supports program;
- Answer general phone inquiries using a professional and courteous manner;

- Reply to general information requests with the accurate information;
- Greet clients/suppliers/visitors to the organization in a professional and friendly manner;
- Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents;
- Sort incoming mail, faxes, and courier deliveries for distribution;
- Prepare and send outgoing faxes, mail, and courier parcels;
- Completes operational requirements by scheduling and assigning administrative projects; expediting work results;
- Maintain and update contact lists as per the template and guidelines;
- Produce and distribute correspondence memos, letters, faxes and forms;
- Assist in the preparation of regularly scheduled reports;
- Code and file material according to the established procedures;
- Update and ensure the accuracy of the organization's databases;
- Back-up electronic files using proper procedures;
- Provide administrative support to management and other staff;
- Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies;
- Other duties or responsibilities as assigned by your supervisor, Director, or the CAO.
