THE ROLE:
HOW YOU WILL CONTRIBUTE:
- Manage Joint Venture files and contact lists to ensure information can be sent to partners in a timely manner
- Work with internal teams to draft and/or send letters for partner signature and follow-up with partners as required
- Review of presentation materials to check formatting, spelling and grammar and overall clarity
- Crate and administer mail ballots (includes distribution, tracking and results letters)
- Coordinate travel, visas, attendees and schedules for senior level meetings
- Set up of meetings, ensuring all required equipment/resources are available
- Reporting on a weekly and quarterly basis
- Develop basic understanding of the Joint Venture Agreement and assist team in ensuring the company adheres to the terms of the Agreement
- Assist team in preparation of workshop materials where applicable, liaise with other departments to gather information and collaborate to create clear, compelling materials
- Coordinate responses to partner questions or requests
- Record and distribute minutes at quarterly partner Subcommittee meetings
- Ad hoc work as required
WHAT YOU BRING:
- Completion of a Technical Certificate, Diploma, or Degree 2 - 5 years’ experience in an Coordinator/Administrator role within a large organization in the Oil & Gas industry.
- Experience in a Joint Venture department is considered an asset
- Proficient in Microsoft Word, PowerPoint and Outlook
- Good organizational skills with high attention to detail
- Excellent customer relationship skills
- Experience organizing meetings, travel and logistics
- Comfortable communicating within all levels of the organization and across different cultures
- Self-starter with ability to prioritize and complete tasks with mínimal direction
