Considered to be one of North America’s finest concert halls, the Thunder Bay Community Auditorium (TBCA) has been a premier facility in the City of Thunder Bay since 1985, showcasing state of the art sound, lighting and theatre systems. Thunder Bay Community Auditorium provides a venue for diverse local, national and international performances as well as a venue for many non-performance events such as graduations, conferences and presentations. We are currently seeking a skilled **Administrative and Programming Coordinator **to join out dedicated and talented team.
**Key Responsibilities**:
- Provide administrative support for the General Manager, Board of Directors and various functional areas of the organization; box office, audience services, building services, development;
- Regularly attend Board meetings; assist with distribution of meeting materials, creation of agenda, recording of minutes;
- Coordinate human resource processes; duties pertaining to recruitment, benefits administration, employee relations, and other functions;
- Maintain schedule of shows and respond to booking inquiries;
- Provide customer service by collaborating with and supporting renters;
- Liaise between production staff and artist representatives;
- Process performance contracts; support the completion of cost estimates, prepare documents, review for accuracy, track receipt of deposits;
- Provide support for special events; planning, acquisition of resources, preparation of print and promotional materials, attendance as requested.
- Other administrative tasks to support the operation of the Thunder Bay Community Auditorium.
- Hold a diploma or degree in Business, Marketing, Arts Administration, or equivalent education combined with relevant work experience;
- Minimum two (2)-years’ experience providing administrative support at a high level;
- Proficient with social media, software and computer technologies;
- Self-motivated with the ability to work independently and take ownership of tasks;
- Demonstrated problem-solving skills;
- Excellent interpersonal skills and the ability to work collaboratively with a team;
- Highly organized with the ability to effectively prioritize competing demands;
- Proven effective communication skills;
- Strong customer service skills;
- Ability to work varied hours, including evenings and weekends, in order to meet the needs of the Thunder Bay Community Auditorium;
- Must hold a valid driver’s license and have access to a personal vehicle.
