Corporate Human Resources Administrator

**ABOUT THIS CAREER OPPORTUNITY**
Reporting directly to the Manager of Corporate Human Resources and working with a dynamic team of HR professionals, the Corporate Human Resources (HR) Administrator will support our Corporate HR Department and provide a full range of administrative and coordination support activities to the HR team, contributing to the smooth operation of the department. The incumbent will be responsible for an array of Human Resources administrative, communications, systems, and reporting functions. The Corporate HR Administrator will establish best practice administrative procedures, and act as a liaison with other HR professionals and stakeholders across the organization.
**DUTIES and RESPONSIBILITIES**
**Administrative Support**
- Prepare and maintain general HR paperwork and employee documentation; liaise with stakeholders as required to ensure paperwork and documentation is complete
- Maintain and coordinate the Corporate HR calendar of events, managing priorities, bookings, and re-bookings
- Provide administrative support for various HR meetings and committees, managing the schedule and taking minutes as required
- Maintain and manage department material and resource inventories
- Participate and administer resources/materials for department events
- Maintain and process monthly billing reports for various HR service offerings, such as the Employee and Family Assistance Program
- Maintain Union Signatory List
**Communications Support**
- Provide written communications support for the Corporate HR group, drafting and editing memos and relevant internal and external communications related to HR programs, policies, and initiatives
- Respond to general inquiries submitted to the Corporate HR Department related to HR policies, programs, and procedures, directing our internal customers to the appropriate resource where necessary.
- Manage the Corporate HR Department intranet, coordinate content and publishing
**Systems Support**
- Audit various HR systems to ensure appropriate access permissions and associated data accuracy
- Provide assistance to the Corporate HRIS Analyst as required, (e.g. preparation and data validation for manual data entry, assisting with system improvements, and using IT Ticketing System to assist system users and other stakeholders by providing basic troubleshooting and technical system support).
**Program Support**
- Provide the HR team with logístical and administrative support for HR programs and special projects such as engagement survey; diversity and inclusion strategy; talent management programs; (succession planning, workforce planning); etc.
- Monitor and follow up, on behalf of the department, on various HR program outputs and deliverables, ensuring timely submissions are made by relevant stakeholders
**Reporting & Research**
- Assist in coordinating and compiling HR related information for corporate reporting whether it be from regional, departmental, or vendor data to be shared by HR colleagues through the organization
- Compile data and process the quarterly Regional HR Dashboard, submitting the final Dashboard to organizational stakeholders
- Conduct external benchmarking and research to identify best practices
- Other duties assigned as relevant to the position.
**EDUCATION and SKILL REQUIREMENTS**
- Post-secondary education in business administration or a related discipline coupled with a minimum of two years of relevant experience.
- Experience working with HR information systems would be considered an asset.
- Bilingual in English and French would be considered an asset.
**OTHER REQUIREMENTS**
- Normal HR activities may require travel 2-3 times a year so incumbents must be able to obtain and maintain valid travel documentation at all times.
- Normal HR activities may require working outside of standard business hours.
