**PURPOSE**:
To provide administrative support to the Donor and Church Advancement Officers in the fulfillment of their responsibilities. To develop and maintain relationships with churches, donors, and subscribers of Reframe’s programs. To assist gift entry and finance to ensure up-to-date recording and processin,g and receipt of gifts, estates, and all giving to ReFrame Ministries.

**KEY RESPONSIBILITIES**:
**ESSENTIAL DUTIES AND RESPONSIBILITIES**:

- Receive and screen phone calls and correspondence. Answer routine questions, handle requests for materials (TODAY, programs, mail lists) and furnish information. Process credit card gifts and EFT’s when received.
- Process the daily mail. Code gifts with appropriate Fund Code, research prior giving and donor intent, notify donor reps of significant gifts to ensure timely acknowledgement. Process consolidated and individual receipts at month end and year end.
- Renew Today subscriptions. Ship out missing orders in cooperation with the warehouse. Invoice churches when requested. Add new subscription requests and update expiry dates.
- Provide assistance to the ReFrame Church Advancement Officer(s) in all matters pertaining to correspondence and church mailings. Coordinate with remote Canadian staff and with US Church advancement with respect to print and digital communication. Where possible, source local printing for prompt mailings and distribution ( e.g. cards, e-book samples, special requests and annual report ) Ensure proper inventory of materials, publications and stationery supplies.
- Provide assistance to the Donor Advancement officer(s), including preparation of materials, collation of ministry materials, follow up mailings, travel arrangements if necessary, and provide timely reports and donor research. Coordinate with US support staff and donor reps re materials, events and opportunities.
- Code invoices for Accounts Payable.
- Track Fees for Christian Stewardship Services. Notify donor reps of CSS and other Donor funds of disbursement when received (quarterly).
- Work with graphic designer(s) to create ads for church directories, special mailings and cards such as Christmas, Easter etc.
- Track Estates with CRCNA Canadian Office/CAO. Send out necessary correspondence to ensure acknowledgment and thanks.
- Assist in scheduling appointments and making arrangements for meetings for the Canadian office.
- Maintain all Canadian giving records.
- Assist the ReFrame Church Advancement Officer(s) in arrangements pertaining to all church events, classis meetings, preaching schedules, and promotion opportunities.
- Be present for regular advancement meetings, attend trainings for new software and other technical changes.
- Other duties as assigned by the supervisor.

- Demonstrated well-developed organizational skills with excellent attention to detail, follow-through, and initiative.
- Proficiency in using Google Suite and willingness to learn donor management software (Causeview/Connections)
- Disciplined self-motivated work style with the ability to function competently and productively with little supervision.
- Professional and cooperative attitude; flexibility and adaptability to a team environment.
- Willingness to serve others and demonstrate hospitality.
- Demonstrated maturity and ability to perform well under stress.

**EDUCATION AND EXPERIENCE**:

- Education in public relations, administration or other applicable field of study and/or
- Minimum one year of some combination of advancement administration and/or donor management experience.
