**Job Title**: Records Management Clerk
**Location**: Edmonton, Alberta (Onsite)
**Schedule**: Monday - Friday, 8:15 AM - 4:30 PM MT (1-hour lunch break)

**Position Summary**:
Seeking a motivated and detail-oriented **Records Management Clerk** to organize, maintain, and oversee the migration of official records within a SharePoint repository. The role ensures all records are accurately named, categorized, and assigned relevant metadata, supporting compliance with established records management guidelines.

**Key Responsibilities**:

- **Records Organization and Classification**:

- Organize and categorize official records by renaming documents following established nomenclature requirements.
- Maintain accurate and up-to-date records inventories for easy retrieval.
- **Metadata Assignment**:

- Assign appropriate metadata to records for tracking, retrieval, and archiving.
- Ensure records are tagged with descriptive, administrative, and structural metadata.
- **Process Documentation**:

- Create and maintain comprehensive documentation outlining processes for accessing, updating, storing, and disposing of records.
- Collaborate with teams to ensure process documentation aligns with legal, compliance, and operational requirements.
- **Records Access and Retrieval**:

- Implement systems to facilitate efficient record retrieval.
- Train staff on accessing and handling records per privacy and organizational policies.
- **Compliance and Security**:

- Ensure records management practices comply with records management requirements.
- Maintain confidentiality and security with sensitive records and data.

**Mandatory Requirements**:

- **Education**: High School Diploma/GED.
- **Work Experience**:

- Minimum of 2 years of experience in an Information Management environment working with records/documents.
- Minimum of 2 years of experience in records management.

**Preferred Qualifications**:

- Education in records and archive management.
- 2 years of experience using Microsoft SharePoint.
- 2 years of experience with the Central Administration feature in SharePoint environments.

**Training Requirements**:
Mandatory training includes:

- Freedom of Information and Protection of Privacy Act
- Security/Cybersecurity
- Information Management
- Respect in the Workplace

**Additional Information**:

- This is an onsite role; remote work is not an option.
- All required equipment, office space, and supplies will be provided.
- Interviews are tentatively scheduled for the week of January 20-24.

**Job Type**: Fixed term contract
Contract length: 12 months

Pay: $30.00-$35.00 per hour

Expected hours: No less than 36.25 per week

Schedule:

- 8 hour shift
- Day shift

Work Location: In person
