Reporting directly to the Chief Operating Officer, this role has primary responsibility for three critical functions within our organization: Human Resources, Legal Support, and Facilities. If you are an experienced leader who thrives on both strategy and hands-on execution, and if you're passionate about driving excellence in these areas, we want to hear from you. **Human Resources** - Drive end-to-end recruitment processes for support staff, legal students, and lawyers. - Cultivate an exceptional onboarding experience, including orientation, training, and knowledge transfer. - Efficiently manage bi-weekly payroll processing within established guidelines. - Administer our comprehensive benefits package, including group insurance and RRSPs. - Own and enhance HR policies, ensuring proper documentation, dissemination, and training. - Lead our internal compensation program, participating in salary surveys and making annual compensation recommendations. - Address and investigate employee relations issues, involving appropriate governance committees where necessary. - Ensure legislative compliance with the Law Society of Ontario, including annual and quarterly report submissions and fees, and managing association membership. - Advance employee engagement through various initiatives and staff events. **Legal Support** - Provide direct oversight to the Legal Support Specialist and indirect oversight to the Legal Assistant team. - Cultivate a culture of high performance, normalize feedback, and coach individual team members. - Manage Legal Assistant assignments, succession planning, and absences. - Ensure high levels of customer (Lawyer) satisfaction with legal support. - Develop and enforce Legal Assistant policies and procedures, including documentation, dissemination, and training. - Conduct regular meetings with the Legal Assistant group. - Stay informed about industry best practices and trends, implementing new policies and processes as needed to enhance the Legal Assistant role. **Facilities** - Oversee the Facilities Assistant, handling escalations that cannot be resolved at the administrative level. - Lead space renovation and improvement projects. - Develop and implement operational processes and ensure compliance. - Chair the Health & Safety committee and lead organizational training initiatives to maintain compliance with the Ministry of Labour. - Maintain relationships with building owners and property management. - Liaise with external service providers and vendors, regularly updating and reviewing contracts.
