**Special Events Coordinator - Permanent, Full time**

**Salary Range - $35.52-$42.42/hr (35hrs/week)**

The Special Events Coordinator will develop, market, implement and evaluate special events. The position will act as a liaison between the Town and third-party groups and promoters for special event requests and proposals, collaborate to present Recreation, Culture & Tourism events, and ensure activities benefit the Town culturally and economically. Strong customer service ability, team leadership and business acumen are required. This position is responsible for monitoring all financial and legal accountabilities and taking appropriate corrective measures as necessary to mitigate risk to the Town, our residents, and visitors.

This position requires a flexible work schedule which includes evenings and weekends.

**Key Accountabilities**

Ø Administer, organize, market, and evaluate internal and external Town of Sylvan Lake (TOSL) special events. This may include conferences, meetings, seminars, exhibitions, trade shows, festivals, fundraisers, concerts, sporting events, shows festivals, parades, holiday celebrations, fireworks, etc.

Ø Communicate with community members, determine needs and interests, recruit volunteers and build strong working relationships to aid the success of all special events

Ø Meet with sponsors and organizing committees to plan event scope and format, establish, review administrative procedures, and discuss progress

Ø Process and track event sales, merchandising and inventory control

Ø Evaluate the effectiveness of the events and provide a post event evaluation

Ø Research opportunities for the TOSL on an on-going basis

Ø Coordinate all event logistics, selecting sites, work plans, caterers, contractors, decorations, equipment rentals and TOSL services (if required)

Ø Represent the TOSL as an ambassador for event staff and lead by example for promoters, trade show exhibitors, vendors, volunteers, sponsors, and donors

Ø Create and support marketing campaigns through traditional media, social media, and online/digital communications

Ø Organize transportation, security, designated drivers, and emergency services.

Ø Perform other duties essential to the position (as required)

Ø Responsible for completing department reports, post event reports, budgets and monitoring final accounting

**Knowledge and Skills**

Ø Minimum 2 years’ experience in Special Event planning and implementation of events

Ø Recreation program planning and implementation, including sports, special events, programs, or equivalent related experience will also be considered

Ø Sales, Marketing & Social Media experience is a definite asset

Ø Diploma in Event Management, Recreation or Community Services or related field

Ø Strong team leadership, supervisory and management skills

Ø Understand financial reporting and management budgets

Ø Research pricing, promotions, market research and superior organizational skills

Ø Computer skills - Microsoft Office, etc.

Ø Able to prepare clear and concise reports

Ø Effective public relations and public speaking skills

Ø Standard First Aid/CPR

Ø Valid Alberta Class 5 Driver’s License

Ø Maintain high standard of conduct

Ø Build strong working relationships with promoters, event planners, organizations, business community, volunteers, and co-workers

Ø Communicate, correspond and interview effectively with media

Ø Be respectful, flexible, consistent, and fair

Ø Possess cultural awareness and sensitivity

Ø Possess a passion for events, community, and brand promotions

Ø Need strong ability to set priorities, mediate disputes, solve problems and be resourceful under pressure

Ø Comfortable in a fast-paced environment in stressful time frames

Ø Coordinate event/program related documents such as Health and Safety, bookings, volunteer recruitment, job descriptions, promotional contracts, etc.
