With more than 1000 sworn and civilian members, the Waterloo Regional Police Service (WRPS) requires a Temporary Full Time Corporate Events Coordinator**. **The WRPS delivers exceptional police services to more than 575,000 residents. As a Corporate Events Coordinator

**You Will**:

- Source community events for community engagement opportunities by various units throughout the service.
- Monitor service community engagement and special event requests and assist in the implementation of plans to ensure appropriate resources are made available to attend.
- Monitor volunteer requests and opportunities, internally and externally, and assist in the implementation of plans to ensure appropriate resources are made available.
- Develop, promote, and implement public relations or promotional special events, internally and externally for the police service.
- Prepare marketing and communication plans suitable for each event to maximize exposure and participation by meeting with trade and professional associations and other groups to promote and discuss events.
- Meet with organizing committees to plan events, establish and monitor budgets, and review progress of events. Assess and coordinate involvement of police service members in activities, including senior administration.
- Organize logistics for events, including registration of members, catering, permits, possible travel, and agendas.
- Organize the registration of participants, prepare programs, agendas, and promotional material, and publicize events. Plan entertainment, social gatherings, and recognition for participants.
- Schedule and plan activities for volunteers in attendance at special events, and track recognition correspondence.
- Help with set up and ensure all physical resources are available for staff and volunteers during special event functions.
- Arrange and assist in all aspects of special event take down and site management, including the delivery of equipment.
- Organize giveaway bags, door prizes, and other promotional packages.
- Read student evaluation sheets following events and bring concerns to the attention of the supervisor.
- May give presentations at or host (e.g., act as the Master of Ceremonies (MC)) special events.
- Make approved special event purchases, monitor expenditures to ensure they are within budget guidelines prepared in advance of the event. Keep track of the purchasing and distribution of police service promotional items.
- Provide assistance to other areas for service-wide events and fundraising as the need arises.
- Maintain databases and spreadsheets of program sponsors and donations, and income expenditures relating to projects and WRPS promotional materials.
- Use a police service vehicle to attend functions, meetings, and events.
- Work with other members of the Corporate Affairs unit to provide coverage and/or support when needed.
- Perform other related duties as assigned.

**You Have**:

- Knowledge of event scheduling and planning practices, as well as marketing, promotion and public relations principles and practices.
- Successful completion of a two-year community college diploma in event planning, business, tourism or hospitality or related field
- Two (2) years of previous experience in events planning or volunteer organizing recreational or cultural events.
- Previous experience working with community/volunteer/charity or non-profit organizations.
- Experience working with volunteers and/or committees.
- Strong Communication, interpersonal and customer service skills required to work effectively with others and facilitate introductions to the community.
- Written communication skills with proficiency in spelling, grammar and composition required to prepare correspondence.
- Practical knowledge or experience in public speaking and presentation skills are required. Ability to organize and facilitate meetings.
- Strong organizational, planning and task management skills.
- Attention to detail and the ability to meet deadlines.
- Knowledge of standardized office procedures and processes, computer skills and experience with software programs such as Microsoft Office.

- Able to establish and maintain relationships with diverse community members.
- Able to respond to inquiries to promote and represent the police service in a polite and professional manner.
- Able to read and comprehend events proposals and correspondence.
- Able to acquire basic knowledge of WRPS organizational structure, chain of command, branch functions and related paper flow processes and procedures.
