Adult Justice Program Administrator

**Job Purpose**
The John Howard Society of Peterborough is looking for a dynamic individual with an attention to detail, fully versed in Microsoft Word, Excel, database software, statistical analysis and who can adhere to reporting deadlines. This position is 35 hours per week and will require a high degree of confidentiality and organization. The role of the Adult Justice Program Administrator can be highly demanding and involves consistent correspondence with clients, facilitators, program staff and community partners.
**Job Outline**
The primary role of the Adult Justice Program Administrator includes, maintaining accurate files and program statistics, organizing groups, maintaining clear and concise group administration, supporting program facilitators in accordance with the agency’s mission, philosophy, aims, and objectives of service delivery. The selected individual will be expected to report weekly on participant attendance in the multiple programs that are overseen within their role, will schedule program intakes, and will support the implementation and delivery of any current or new justice funded programs.
**Responsibilities**
Administration Tasks
- Complete program intakes, and complete administrative tasks related to all adult justice programs.
- To provide administrative support to the intake worker by organizing client lists, and updating client files
- Ensuring that information is recorded in the current database system.
- To consult with community partners (probation, courthouses, and affiliates) as needed.
- Other duties as assigned by Manager.
**Program Administration**
- Group administration includes keeping track of all participants, and scheduling individual and make-up sessions.
- Group facilitation as needed.
- Organizing groups by adding/removing clients as needed
- Communication with the community courthouses
- Communication with JHS partners and affiliates regarding reports
- Communication with facilitators, program staff and clients
- Submitting attendance to partner agencies, probation, and courts as per program guidelines.
- Ensure that attendance and statistics are up to date for reporting.
- Adhere to professional guidelines with respect to client confidentiality.
- Attending appropriate staff training sessions.
- Ensure that the program is conducted in a manner that promotes and ensures the safety of all clients and the community.
**Best Practices and Accountability**
- Stay informed of issues, information, & best practices re: housing and homelessness initiatives, mental health and addictions, community reintegration and support.
- Attend relevant staff meetings and training sessions.
- Adhere to standard professional guidelines and agency protocols on confidentiality.
- Follow all Health and Safety guidelines
- Engage in ongoing collaboration with teammates.
- Report any issues relating to safety and risk to Manager or agency Director
- Consult regularly with the Manager of Justice Services
**Qualifications**
- Post-secondary education in social services, criminology, community and justice services, psychology, or related field
- relevant to social and/or justice services, preferably working with individuals experiencing precarious housing, homelessness, incarceration and/or conflict with the law
- Training in anti-racism, anti-oppressive, & trauma/ resilience informed practices required.
- Excellent observational and problem-solving skills.
- Excellent oral, listening, written, interpersonal, & conflict resolution skills.
- Self-starter and highly motivated
- Strong computer skills, incl.: Microsoft Office, EMHware, etc.
- A deep understanding of the value of relationship-building.
- Actively seeks constructive feedback from colleagues, supervisors, volunteers, & others.
- Ability to work with diverse staff, client community, & a wide range of constituencies.
- Ability to work independently & take initiative.
- Strong ethics, integrity, & confidentiality consistent with the position
- Must have a driver’s license & access to a car.
- Must have vulnerable sector screening
- Must be able to work shift work
**Job Types**: Full-time, Fixed term contract
Contract length: 7 months
Pay: From $23.46 per hour
