**SUMMARY OF DUTIES & RESPONSIBILITIES**
Reporting to the Manager of Corporate Services, the Supervisor, Office Services oversees and guides the work of the receptionists and administrative assistants who provide support to the service teams and facilitates consistent and effective administrative work practices across the Society.
The Supervisor, Administrative Office Services is responsible for direct supervision, coaching and mentoring a professional, high performing administrative and office services team. The successful incumbent will lead the administrative office staff in the provision of responsive, timely and accurate people-focused service delivery, while ensuring an equitable balance of workload. The Supervisor, Office Services collaborates and partners with agency Service Supervisors in support of the Society’s goals and strategic directions relevant to the overall mandate of the Society.
**NATURE OF POSITION**:
- Lead and maintain a strong collaborative culture that promotes respect, supports innovation, encourages creativity, and meets organizational outcomes.
- Monitor and ensure equitable distribution of work assignments and redistribute as required.
- Make recommendations to appointed stakeholders to implement process improvement initiatives that may impact work distributions.
- Work to collaboratively seek solutions proactively, propose strategies for resolution, and manage opportunities for the enhancement of service deliverables.
- Provide leadership in reviewing, designing, developing, implementing, and monitoring office systems, processes, equipment, and procedures to improve service and the overall functioning of administrative office services at the Society.
- Coaching and orienting new or existing administrative employees to ensure all work and project deliverables are met.
- In consultation with identified stakeholders, initiate and communicate new processes, structures, change management and process improvement initiatives.
- Guide departmental administrative office staff in implementing standardized procedures and practices.
- Facilitate administrative office service team meetings to seek and share information and to advise of changes in policies or procedures.
- Identify orientation and/or training needs for administrative office employees and arrange orientation and training as required.
- Continuously assess and provide recommendations regarding the allocation of administrative resources and work areas and/or employees requiring further training/development.
- Ensure adequate coverage of designated service areas in the event of planned and unexpected absences in accordance with the collective agreement.
- Establish cross functional training opportunities for the administrative team to ensure back up, coverage, and succession planning to increase operational efficiencies.
- Lead process improvement reviews as applicable to ensure processes and policies are relevant, innovative, and meet organizational strategies and ministry compliance.
- In collaboration with People and Culture, facilitate the hiring and performance management life cycle of the Office Services teams.
