**Operations & Finance Administrator**

The Operations & Finance Administrator is responsible for supporting our operations and finance teams in the following functions, including but not limited to:

- Operations_
- Submitting purchase orders to suppliers and co-ordinating on-time receipt of materials in conjunction with suppliers and logistics;
- Updating procurement software with Goods Received Notes;
- Sourcing materials and suppliers as specified by the operations team, which may include preparing and evaluating RFQ’s;
- Co-ordinating supplier negotiations;
- Support the Implementation of processes and procedures to ensure efficient and accurate operation of the purchasing function;
- Ensuring that team timesheets are completed and submitted on a bi-weekly basis and preparing hours input for payroll processing; and
- Project costing reviews and reporting.
- Finance_
- Processing accounts payable through to payment;
- Compilation and monitoring of expense information as required for grants and other funding;
- Tracking and monitoring of capital expenditures;
- Reconciliation of intercompany accounts on a monthly basis;
- Reviewing and reconciling vendor statements as received;
- Written and verbal communication with vendors as required to address billing, payment or other issues in order to maintain strong, positive relationships;
- Processing of of customer invoicing, receipt of payments and collections;
- Payroll processing including posting of journal entries and related compliance activities;
- Bank, credit card and loan statement reconciliations;
- Year end support and assistance with external auditors;
- Other ad hoc duties as required.

Qualifications:

- A degree or diploma in accounting or business administration with an applicable major preferred;
- A minimum of three years of experience with accounting or bookkeeping responsibility;
- Proficient in the use of Quickbooks Online (preferred) and Microsoft Office Suite;
- Experience in payroll processing would be an asset.
- Ability to analyze and problem solve;
- Strong time management skills;
- Highly organized;
- The ability to work as part of a team in an entrepreneurial environment while maintaining a high level of accuracy;
- Strong verbal and written communication skills.
