**Key Responsibilities.**

Reception desk:

- Provide full-time reception coverage, maintaining the area, opening, and closing procedures.
- Answer telephone, take & relay messages. Greet persons entering organization, direct person to correct destination.
- Deal with queries from the public and stakeholders.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Process courier requests, receiving and sorting daily mail.
- Maintain a daily logbook for client pick-ups & deliveries.
- Update reception binder on a timely basis

General office upkeep:

- Open and close all kitchens daily, ensuring adequate supplies are readily available. Follow specific procedures for the Kosher kitchen.
- Ensure meeting rooms and common areas are tidy after each meeting.
- Ensure all common areas are neat and tidy at the start and end of the day.

Training Administration:

- Scheduling training as requested, and at times may include booking accommodation and flights.
- Booking training in calendars and adding to the HRIS.
- Sending training feedback forms and ensuring it is captured.
- Maintaining total cost for training booked and any other associated costs monthly.

Inventory Maintenance:

- Monitor inventory levels in all kitchens and printing rooms.
- Provide the Office Coordinator with Inventory to be ordered.

Administrative support:

- Scheduling meetings and booking office related events.
- Opening AP mail, logging and scanning to the appropriate digital mailbox.
- Any other administrative tasks as directed by the Director, Human Resources.

**About You.**
- At least 3-5 years’ experience in an administrative position.
- At least 2-3 years’ experience in a receptionist position.
- Bilingualism (English and French) is an asset.
- Mature, pleasant, and professional demeanor.
- Excellent customer service skills.
- Excellent organizational skills and attention to detail.
- Proficient in MS365 Suite.
- The ability to effectively prioritize and execute multiple tasks.
- Excellent communications (written and verbal) and interpersonal skills.
- Flexibility and the capacity to embrace and promote change.
