**We are seeking a passionate Scheduling Coordinator in Whitby, Ontario to join our village.**

**What we need**
Under the direction of the Assistant Director of Operations, the **Treatments Scheduling Coordinator** is responsible for scheduling and supporting the administrative needs of all massage therapists and estheticians while respecting availability and operational needs for the coming months; in accordance with established protocols.
You will support the elevation of our culture through the lens of our pillars: The best in wellness | The feeling of somewhere else | A trouble-free experience | In a natural state.
**What you’ll do**
- Manage the administrative files of the self-employed workers: creation of computer access and files with the accounting department;
- Program the schedules of all Massage Therapists and Estheticians, taking into account the availability of workers and operational needs for the coming months;
- Monitor schedule changes (additions and deletions) and find solutions to cover emergencies and shortfalls;
- Contacting guests to reschedule/cancel
- Plan and maximize the occupancy of the massage rooms;
- Enter scheduling data into SpaBooker with a sense of urgency and accuracy;
- Participate in the continuous improvement of the system;
- Follow up with the accounting department for billing purposes;
- Processing RMT receipts for guests
- Perform other related duties.
**P**rofile needed**
**What is the profile needed in order to be successful in this position**
- College Diploma or equivalent experience in Hospitality, Health Administration, or Data Management;
- One (1) year experience in managing schedule building and input for large teams;
- Excellent MS Office skills (Excel, Word, Outlook);
- Strong ability to manage back-end data entry;
- Excellent verbal and written communication and interpersonal skills;
- Possess a good sense of organization, planning and monitoring, solution focused mindset, as well as great professional rigor;
- Ability to analyze and manage priorities;
- Have a positive attitude, resourcefulness, and calm under pressure;
- Respect confidentiality and discretion;
- Enjoys logic puzzles and problem solving games;
- Experience with SpaBooker or treatment/service focused software would be an asset.
**When**
You will work 40 hours per week (weekends and holidays required).
