**JOB SUMMARY**:
**The Medical Administrative Assistant position is the first point of contact for visitors and patients to the Shouldice Hospital and clinic. Providing exceptional customer service and information, directing and managing inquiries is a very important part of this role.**

**The Medical Administrative Assistant position is responsible for a variety of administrative duties in support of the Clinic, admissions, discharge, and/or post-operative administration. Duties include, but are not limited to, managing medical forms, health records, and financial records for incoming patients. Working as part of the Clinic Team, the position will rotate through other positions and will assist with overflow during busy periods and vacations as needed.**

**RESPONSIBILITIES**:
1. Manages the hospital’s foyer reception and waiting room areas. Greets and directs all patients and visitors.

2. Provides exceptional and responsive customer service in all inquiries and contacts with patients and visitors.

3. Answer and appropriately route all incoming calls. Provide general information and respond to routine inquiries about the hospital.

5. Greets each incoming patient to obtain insurance coverage to confirm addresses and to inform patient of cost.

6. Checks patient’s Statement of Accounts upon discharge and provides required forms.

7. Prepares and delivers invoices to rooms in preparation for patient discharges.

8. If required, adjusts patient’s billing, according to changes.

9. Processes request for operative notes to be sent to patient’s physician.

10. Addresses patient inquiries regarding invoicing.

11. Balances all credit card and debit card transactions.

13. Obtains credit card details from each patient upon their admission.

14. Balances cash box daily.

15. Maintaining confidentiality of medical, personal, and financial information.

16. Maintains operations by following policies and procedures, reporting needed changes.

17. Contributes to team effort by accomplishing related results as needed.

18. Performs related duties as assigned.

**QUALIFICATIONS AND SKILLS**:

- Post-secondary education required, or an equivalent combination of experience.
- 2+ years' administrative assistant and/or customer service experience preferred.
- Ability to handle a fast-paced environment and prioritize tasks based on importance.
- Excellent communication, both written and verbal, and interpersonal skills required.
- Ability to multi-task and remain calm in a fast-paced environment.
- Strong organizational skills and attention to detail.
- Ability to work in an independently, and problem solve in a hectic environment.

**WORKING CONDITIONS**:

- Saturday through Wednesday 8:30AM - 4:00PM, shifts
