**About this Amazing Opportunity**

The purpose of the Site Administrator is to provide prompt and courteous administrative support for the Management office, day-to-day operation support and provide customer service to the residents of Birch Housing.

**Your Responsibilities**
- Maintain strong relationships with the residents that reflect admirable customer service.
- Oversee all building information systems including technology, communications, etc.
- Oversee the preventative maintenance schedule and all aspects of work.
- Respond to and investigate all emergencies and requests for repairs in a timely manner in cooperation with the Site Superintendents and Assistant Building Representatives, where relevant.
- Assist the Site Superintendent and/or Assistant Building Representative with maintenance and resident inquiries and concerns.
- Maintain filing systems for residents, contracts, purchase orders, operational and corporate documents.
- Assist residents by connecting them to relevant resources as needed to prevent eviction and manage their tenancy effectively.
- Assist the Property Manager with daily operations of the properties as required - requests can vary based on different events or situations.
- Complete annual and mid-year rent geared to income calculations (RGI) and communicate with the service managers to address concerns.
- Contact contractors for quotes, schedule building/unit maintenance work as required; Scope vacant units for turnover repairs and renovations, perform building inspections with the Site Superintendents.
- Provide details to the corporate office to update the Birch Housing website to fill vacant units.
- Manage resident move-in/move-out process and prepare lease agreements for new residents.
- Issue, process, and receive purchase orders in Yardi.
- Prepare and process bank deposits.
- Prepare and deliver notices, letters and other correspondence pertaining to building operations as required.
- Process office mail, supplies, and deliveries.
- Support the Business Manager and Manager, Operations and Facilities as required.
- Prepare reports for service managers, as required.
- Other duties as assigned.

**What you Bring to the Role**
- College Diploma or Bachelors’ Degree in related field.
- Institute of Housing Management Certification and/or Property Management Certification would be an asset.
- Minimum three (3) years of previous experience in an administrative building management role.
- Excellent customer service, resident services, knowledge of Residential Tenancies Act, Landlord and Tenant Board, Human Rights legislation, and Housing Services Act.
- Training completed in RGI Administration and Waiting List management.
- Knowledge of social or affordable housing, building operations and management, residential leasing will be an asset.
- Advanced MS Office Suite and knowledge of Yardi.
- General understanding of building systems.
- Strong communication and interpersonal skills.
