**About Us**:
**The Role**:
This is a full time, 40 hour per week position. Hours are primarily Monday to Friday, but flexibility is required - evening and weekend work, plus occasional overtime, are to be expected. The job will be based out of our office in **North Vancouver, BC**, however, you will be expected to travel between training locations, including in Vancouver, Coquitlam, and Squamish.
Coast Wilderness Medical Training is a young company that has grown rapidly in the last few years. The challenges of 2020, most notably the disruptions posed by the COVID-19 pandemic, resulted in a number of changes to our course delivery structure and offerings, resulting in 40% year-over-year growth between 2019 and 2020, with 2021 growth already looking to be substantially greater. This pace of growth is exciting, but creates its own challenges and precariousness - we are looking for a strong and stable administrative manager to help us keep things on track.
**Prior experience is required - you will be asked to get up to speed very quickly**
**Key Responsibilities**:
- Outward-facing customer and stakeholder management.
- Managing pre-and-post-course tasks to ensure that a student’s training is just one part of an exemplary customer journey experience.
- Responsible for managing all elements of office administration & operations, including but not limited to:
- Bookkeeping in an accrual-based accounting system.
- Oversee payroll administration.
- Assist to develop and manage monthly and annual budgets.
- Tracking expenses against budgets.
- Iterating office and administrative operations for efficiency.
- Collaborate with other office team members and instructors on initiatives and projects as they arise.
- Responsible for managing logistics of all of our training courses (around 20 running per month, in both Vancouver and Squamish).
- Schedule courses.
- Manage instructors’ and support staff schedules.
- Manage inventory and equipment. (You will have casual help reporting to you to assist with gear cleaning, sorting and preparation, but will be expected to contribute to this task as wellyou will, from time to time, get your hands dirty.)
- Assisting with marketing strategies and activities, such as: online advertising, social media presence, website design (via Squarespace), and development & execution of sales plans.
In short, this is not a typical office job. As Coast Wilderness is in a chaotic but exciting phase of its growth, you will need to adapt to the shifting needs of the company, including developing a keen sense of prioritization in order to balance the many responsibilities you will undertake, and helping to develop the systems that will allow Coast Wilderness to continue delivering high quality training programs to the people of Vancouver and beyond. **Experience, Abilities & Skills**:
**Must Have**:
- Completion of a post secondary degree in a related field such as business administration or business management.
- Resourceful and able to take initiative in a small but fast-paced workplace environment
- Detail oriented, adaptable, organized, and demonstrated ability to successfully manage multiple projects and tasks.
- Strong oral and written communication skills
- Ability to travel between training locations - mostly within Metro Vancouver, but occasional travel to Squamish and other locations may be required.
**Assets**:
- Keen interest and enthusiasm in first aid and outdoor activities
- Always thinking one step ahead to plan and solve problems
- Comfortable with Facebook and Instagram. Experience in social media advertising is a major asset.
- Experience with drag-and-drop website builders, like WordPress, Squarespace or Wix. (Our website is in Squarespace)
**Salary**: $46,800.00 per year
