**CLINIC EXPERIENCE COORDINATOR**

**Full-Time (40 hours/week)**
**Part-Time (15-20 Hours/week)**

Based in Halifax, Nova Scotia

**POSITION OBJECTIVE**:
The Clinic Experience Coordinator is a self-starter, patient-centered, and exhibits a strong ability to work in a team-based, fast-paced environment. As the first point of contact for patients/clients who visit our clinic or contact us to learn about our services. Quality customer-service is very important. You will be our clinics ‘first impression’ and building friendly, trusting relationships with patients/clients is key

**AREAS OF OVERSIGHT + RESPONSIBILITIES**:
The role of Clinic Experience Coordinator reports and works directly with the Director of Operations and President to maintain accurate and up-to-date systems. In their role, they are responsible for preparing and executing routine tasks, along with reviewing project updates on a regular basis.
- General Clinic opening and closing duties, other administrative and customer service support
- Greeting and check-in / check-out of clients, updating client profile and accepting payment.
- Managing and keeping payments reconciled, organized and up to date
- Optimize treatment schedule and coordination of team provider availability.
- Understand and enforce our company policies, terms and conditions
- Organize and prepare exam rooms and ensure each room is appropriately stocked with supplies.
- Ordering and management of clinic supplies and retail inventory
- Coordination of documents and equipment resources used by the clinic.
- Provides support to troubleshoot issues with printers, computers, and phone systems.
- Maintain a clean, clinical working environment including clinic common areas.
- Results Driven with Weekly + Monthly KPI Goal Tracking with incentive opportunities

**QUALIFICATIONS**:

- A hardworking, resourceful person with effective problem solving skills
- High energy, optimistic, driven to succeed and great at working with others
- Outstanding communication and client rapport
- Previous medical aesthetics industry, retail, reception or managerial experience is an asset, but not required
- Knowledge of our services to providing patients/clients with information on products /cosmetic procedures
- De-escalate & resolve conflict with upset patient’s while remaining calm under stressful circumstances
- Must possess a professional demeanor and ability to work under pressure and meet deadlines.
- Must be able to prioritize, multi-task and have creative problem solving skills.
- Computer Proficiency is required, and knowledge of Zenoti, Google Docs/Sheets, Squarespace is an asset
- Primarily weekdays, but must have availability for occasional shifts on evenings and weekends

**REMUNERATION**:

- **Compensation**:Starting at $17 an hour with additional bonuses, based on performance and targets. Probationary period of 3 months. Payroll is paid twice monthly by direct deposit.
- **Commission**:10% commission on collected gross clinic income for “no show appointment fee”
- **Vacation**:4% of gross pay, paid on each pay period and up to 2 weeks of unpaid vacation time per annum.
- **Sick Days**:up to 24 hours paid sick time per annum, redeemable in 4 hour increments (0.5 days)
- **Personal Days**:up to 24 hours paid sick time per annum, redeemable in 4 hour increments (0.5 days)
- **Holidays**: All statutory holidays are paid, as the clinic is closed for business.
