Halifax, Canada Harbourside Engineering Consultants Full time

The Harbourside Group of Companies, comprised of Harbourside Engineering Consultants, Harbourside Transportation Consultants, Harbourside Geotechnical Consultants, and Harbourside Project Management, is a full-service heavy civil infrastructure design firm with offices in Nova Scotia, Prince Edward Island, Newfoundland, and Ontario.

As one of the fastest growing and highly respected engineering firms in Atlantic Canada, we are seeking a highly organized Office Manager to join our Dartmouth office. This role is responsible for leading the administrative team and assisting with duties including facilities, leases, insurance, vendor management, policy and compliance updates, and general office support while working closely with management on special projects. The position supports operations across all office locations and reports to the Operations Manager.

**Responsibilities include but are not limited to**:
Administrative Coordination
- Supervise and support administrative staff.
- Manage vendor accounts for office services and utilities (excluding PEI).
- Act as primary contact for leases and building management for Dartmouth, St. John’s, and Stoney Creek offices.
- Respond to employee inquiries on office and company processes.
- Assist management with special projects and other administrative tasks.

General Office Support
- Prepare reports and proposals.
- Maintain office systems and supplies.
- Manage inventory and distribution of corporate merchandise.
- Organize office functions and events.

Insurance Management
- Liaise with insurance brokers on complex issues and provide Certificates of Insurance to clients, ensuring compliance with contract requirements.
- Manage policies including Professional & Commercial Liability, Property, Cyber, Equipment, and Automobile coverage.

**Requirements and Qualifications**:

- 2-3 years in a similar role; experience in consulting engineering is an asset.
- Proficient in Microsoft Office Suite (Teams, Outlook, Word, Excel, PowerPoint).
- Strong organizational and time management skills.
- High attention to detail and accuracy.
- Ability to work in a fast-paced environment and meet deadlines.
- Excellent communication skills and proactive mindset.

Pay: From $70,000.00 per year
