As a contributing member of the team, the Office Manager will be accountable for coordinating various office tasks and functions to ensure field office operations always run smoothly. This position will be field based in Moose Jaw, Saskatchewan.
**Main Duties and Responsibilities**
- Assist with document control system by scanning, filing, appropriately naming documents as per project requirements in accordance with Top Shelf Document
Numbering Convention.
- Assist with document control activities, including (but not limited to), creating, preparing, proofreading, and distributing relevant documents.
- Maintain system folder structure for existing and new projects, ensuring all filing systems are always up to date.
- Perform various clerical tasks as needed; including data entry, making travel arrangements, maintaining organizational charts, organize supplies, take meeting notes, etc.
- General reception duties: manage reception area to ensure effective communication both internally and externally, answer phone/route calls, check mail, order catering, welcome clients and visitors to the office and assist them as needed, etc.
- Prepare and send out document transmittals.
- Set appointments, meetings, and conference calls and handle any special requests.
- Report any updates or pertinent issues that need to be addressed to the owner/manager.
- Perform other related duties, as required.
**Credentials and Capabilities**
- Intermediate computer skills, including Microsoft Office Suite (Outlook, Excel, Word, etc.). Previous experience in AutoCAD would be an asset.
- Previous experience in an office setting and administration would be an asset.
- Some experience with document control would be an asset.
- Self-starting, team player willing to work collaboratively towards achieving the strategic goals of the company.
- Strong organizational skills, strong attention to detail and accuracy.
- Exceptional written and oral communication skills.
- Strong time management skills and proven problem-solving skills.
- Excellent work ethic and the ability to work independently and cooperatively.
**Job Type**: Fixed term contract
Contract length: 3-4 months
**Salary**: $25.00-$45.00 per hour

- 10 hour shift
